About the Opportunity: The Finance & Ops Assistant plays a critical role responsible for providing a variety of day-to-day tactical administrative and fiscal business activities and within the School of Law. This includes reviewing and ensuring appropriateness and accuracy of expenditures, processing financial transactions, and performing monthly payroll and budget reconciliation. Financial transactions include processing reimbursements, extra compensation requests, budget transfers, payroll distribution changes, purchase orders, and other related activities. This position is also responsible for monitoring, tracking, and reporting on departmental budgets and programmatic expenses, serving as a department liaison for financial-related matters. This position will also provide support for contract administration within the division, including review, routing, and archiving of Division's contracts and supporting documentation. This role involves a lot of multi-tasking and coordination of multiple moving parts. The ideal candidate is communicative, highly organized, and detail-oriented, with a strong customer service orientation.
Responsibilities: Payroll Transactions:
Process payroll distribution forms, extra compensation forms and other transactional payroll related items as necessary
Assist with monthly payroll reconciliation
Monthly Budget Reconciliation
Complete Monthly Budget Reconciliations for Divisions
Responsible for processing the day-to-day financial transactions within the Division.
Process transactions including budget transfers, invoices, purchase orders, direct pay and reimbursements
Maintain and create reports that allow tracking and projecting of expenses to ensure accuracy and appropriateness of transactions
Provide guidance to division employees in ensuring adherence to controls and policies
Provide guidance on concur and review division concur statements for compliance
Maintain training documentation
Serve as backup for Assistant Director of Finance & Administration for finance as appropriate
Serves as a liaison to division employees for Procurement and Accounts Payable
Provides review, routing, and archiving of Division's contracts and supporting documents.
May be assigned special projects or initiatives related to budget operations
Customer service experience required
Experience working in an academic environment preferred.
Demonstrated computer literacy and proficiency with Microsoft Office Suite, specifically Excel, required. Experience with enterprise finance systems and University platforms such as Banner, Concur, Workday and Cognos preferred.

Exceptional organizational skills with the ability to organize time and priorities, including multiple tasks and deadline pressures

Knowledge and skills are typically acquired through a bachelor's degree (or equivalent) with 1-2 years of experience in related field, preferably in business operations with budget management experience.
