Reporting to the Associate Vice President of Industry Engagement, the Assistant Director of Finance & Operations manages the financial and overall administrative operations of the Industry Engagement department, serves as a Human Resources liaison, and has oversight of the IE Salesforce org as the Salesforce Administrator. This position provides direct support to the AVP and to the Business Development and Industry Contracting teams by assisting with outreach initiatives and special projects, coordinating event and meeting logistics, actively participating in the development of processes and procedures, and building parallel enhancements into the Salesforce CRM and website to support the success of the team. This position is eligible for a hybrid weekly schedule under BUs flexible and remote work policies.

Key areas of responsibility include:

• Serving as the Salesforce Administrator; assessing and building enhancements to Salesforce environment in close collaboration with IEs Salesforce service consultant. Documenting and communicating updates and providing training to end users as needed.
• Performing data cleanup, data migration, and maintenance updates to Salesforce org.
• Preparing quarterly budget reports to the Office of Research and provides financial analyses, projections, and recommendations to the AVP.
• Oversee day-to-day administrative functions, including supplies purchasing, group meeting coordination, facilities coordination, catering, coordinating IS&T requests and responses, and tracking departments computer equipment.
• Functioning as the HR liaison, coordinating staff onboarding and offboarding activities, and assisting in HR and payroll tasks that require a high degree of confidentiality and discretion.
• Updating the Industry Engagement website and the Industry Collaboration section of the Research Support site; working with BD and Contracting teams to gather and organize website collateral.
• Coordinating large-scale events, including space reservations, outreach to internal and external vendors for catering and A/V setup, acting as the day-of point of contact, and reconciling all invoice payments.
• Leading CRM, website, and space-related initiatives in a project management role in close consultation with the AVP.
• Supporting the department in other areas as needed.
