Job Description Summary
The Associate Director of Finance and Business Operations manages the financial and administrative affairs of the Strategy & Innovation Division (SID). Working closely with the SID leadership team, this position provides support and oversight of day-to-day transactions, processes and compliance with financial and administrative policies. This individual will also manage the financial operations and tools that enable Strategy & Innovation to implement long-range administrative plans in pursuit of our highest-priority strategic goals.
Key Responsibilities:
Responsible for management of financial affairs across SID, supporting SID leadership team on finance-related matters including preparing and supporting relevant presentations to Cabinet and Board of Trustees.
Financial Reporting:
Within Workday platform, prepare and maintain budgets, financial reports and analyses. Compile data on annual operating budgets and trends of actual expenditures and assist with analysis of departmental financial activity to develop actionable insights. Use Workday reporting tools to generate customized reports and dashboards for tracking operational budget utilization and trends.
Collaborate with department directors in graduate operations, EPE, Badavas and SID Strategic Plan Implementation to review spend to date, upcoming/projected spend, and potential budget needs/changes.
Provide direction in the implementation of financial policies and procedures. Maintain strict confidentiality to sensitive information.
Ensure all fiscal commitments and expenditures comply with university guidelines.
Provide training and support within SID on budgeting processes and Workday functionality.
Collaborate with Procurement on SID contracts, including negotiation, execution and vendor management.
Financial Planning:
Prepare and maintain financial projections, forecasts and modeling to inform SID long-range planning
Generate programmatic P&L
Business Operations and Administration:
Scale and operationalize business processes and systems for B2B client invoicing and payment (in collaboration with Finance)
Serve as Divisional lead in partnering with IT Data Engineering and Operations and Enrollment Management Business Intelligence to identify and extract information to inform SI operations.
Drive implementation of divisional systems such as monday.com, MS Teams, etc.
Conduct operational needs assessments for the Division, including administrative workspace
Other duties as assigned.
Minimum Qualifications:
Bachelor's degree in Business Administration, Operations Management, Finance, or related field.
Strong background in budget management and financial analysis, including experience working across multiple budget lines.
Proven experience in business operations, with at least 5 years of relevant experience utilizing Workday or similar ERP systems. Experience with MS Office suite. Experience using collaborative tools such as MS Teams, Slack, etc.
Advanced skills in Excel, ability to build pro forma financial models. Experience with data visualization software such as Power BI, Tableau.
Excellent oral and written communication skills, with ability to translate data into actionable recommendations.
Outstanding analytical skills, with attention to detail and high level of accuracy in financial data management.
Ability to work collaboratively as well as independently.
Preferred candidates will also have:
MBA, Master of Finance or Master of Accounting
Experience with vendor management, including product/service analysis, tracking deliverables and performance, and maintaining productive relationships.
Experience with client invoicing and payment.
Work Environment:
Typical office setting with extensive sitting and computer work
Ability to travel around campus for work related meetings and other events
