Waldorf School of Lexington (WSL) is seeking a full-time, year-round Director of Finance and Operations (DFO) with an immediate start date. WSL is a day school situated 12 miles west of Boston in historic Lexington, Massachusetts. The school serves 170-195 students in preschool through eighth grade. Total annual revenues are approximately $5 million. Currently, the school has 60 full- and part-time employees.
WSL has recently undertaken a significant change in its governance structure, hiring a new Head of School with central authority over the school and shifting the Board of Trustees’ focus to a long-term, generative governance outlook. It is in this context that the DFO reports to the Head of School, is a member of the school’s administrative leadership team, and has overall responsibility for all non-academic and business operations of the school.
The DFO is responsible for all financial aspects of the school, especially budget building, budget management, P&L reports, and financial projection modeling. The DFO ensures institutional integrity on fiscal matters by promoting best practices in finance which includes budgeting, forecasting, managing investments and assets, annual audits, and reporting quarterly to the Board of Trustees. The DFO carries significant responsibility for risk management, not just compliance but also proactive assessment of potential risk. Thus, the DFO also oversees the management and execution of financial, legal, and business-related operational programs, policies and procedures for the school. (At present many of these roles are being performed by a temporary finance officer contracted with an outsourcing firm.)
The DFO responsibilities also include overseeing the maintenance of and planning for the physical plant and making sure internal and outsourced IT and HR services are serving the needs of employees.
In addition to financial expertise, the successful candidate must possess exceptional interpersonal skills to facilitate effective partnerships with faculty, staff, and families, along with a spirit of collaboration with all constituencies. Ideal candidates will possess at least five years of experience in a position of financial leadership and operational management, preferably in an independent school or non-profit setting. Proven experience directly overseeing multiple operation areas and developing financial strategies that support strategic priorities are essential.
Key responsibilities include:
Collaborating with administration, departmental leaders, and the finance committee of the Board of Trustees to prepare, manage and monitor school finances.
Leading a business office consisting of a Business & Operations Associate (who manages accounts P/R, parent billing and helps direct school office operations) and a Senior Accountant/payroll manager.
Supervising the school nurse, facilities manager, co-managers of an on-campus retail store, kitchen manager, receptionist, and the director of the summer camp/substitution coordinator.
Developing and maintaining a highly collaborative relationship with the Head of School and responsibly communicating and advocating for the Head’s strategic goals and objectives–both internally as well as with trustees, staff, and parents.
Supporting the school’s admissions, financial aid, enrollment, and development functions.
Managing the business functions and operations of the school with foresight, planning, collegiality, business prudence, and a disposition toward customer service.
Acting as principal risk manager, maintaining comprehensive and cost-efficient property, liability, and umbrella insurance coverage and remaining abreast of evolving best practices in similar schools and institutions.
Ensuring the safety and security of the campus and the people here; promoting a sense of pride and comfort for all constituents and visitors.
Overseeing the preparation for annual audits of the school’s finances and retirement plans.
Controlling the flow of cash through the organization and maintaining the integrity of funds, securities, and other valuable documents and assets.
Ensuring that the school complies with all federal, state, and local laws and maintains tax exempt-status on a federal, state, and local level.
Overseeing employment policies, appropriate staffing levels, compensation and benefits across the organization.
Maintaining efficient and thoughtful processes for recruiting, hiring and onboarding new employees
Representing the school when requested.
Recommending and implementing best practices and innovations to maximize effectiveness and efficiency.
A bachelor’s degree in finance, accounting, or business administration (or equivalent); having (or actively pursuing) a CPA/MBA or equivalent is a plus.
Minimum 5 years of financial management and operations management experience; cash flow modeling and systems implementation experience preferred.
Experience at an independent school or not-for-profit organization.
Ability to take the concepts developed by the Head of School or Board to develop and implement a comprehensive operational plan.
Capable of thinking on an analytical level and interpreting financial reporting, drawing on strong mathematical skills.
Strong knowledge of Quickbooks accounting and Blackbaud’s Raiser’s Edge systems. Ideal candidates will also have experience with Ravenna’s management systems for independent schools.
Highly skilled in the use and building of spreadsheets and all Microsoft Office and Google Suite programs.
Experience working with, supporting, and reporting to a Board and its trustee committees.
Strong leadership and interpersonal skills and capacity to motivate staff and earn their trust.
Approach tasks and interactions with integrity, honesty, and patience.
Have a demonstrated commitment to building inclusion and belonging and an appreciation for the cultural background, heritage, and identity of all persons involved with the school.
Strong verbal and written communication skills, including the capacity to compose professional written correspondence.
