Department Overview
The Mission of the OHSU Physician Assistant Program is to serve as a model of excellence in physician assistant education by preparing graduates to provide patient-centered, evidence-based, and culturally appropriate health care to diverse populations, and to promote lifelong learning, leadership, and service.
As the Assitant Director, Finance and Administration you will be responsible for supporting the analysis of resources and expenditures and well as forecasting and planning for subsequent years to ensure financial stability, resource allocation, and strategic preparation for future direction of the program. Additionally, this role oversees a spectrum of general program administrative duties ensuring that programmatic operations foster organizational success.
Function/Duties of Position
Fiscal Management:
- Support and maintain annual budgets for all revenue sources, approx. $3.5m per year.
- Analyze resources and expenditures for current and sequential years.
- Manage, monitor and reconcile revenues and expenditures for general, foundation and grant accounts on a quarterly basis.
- Provide and/or delegate fiscal authority for all expenditures.
- Initiate and monitor professional service contracts.
- Coordinate disbursements for honoraria and other payments in conjunction with accounts payable.
- Oversee affiliation and lease agreements for student clinical placements.
- Assist in identifying and developing new sources of revenue, including coordinating grant budgets.
- Oversee travel and conference attendance arrangements and reimbursements.
- Coordinate Purchase Card (P-Card) Reconciliations.
- Communicate significant fiscal changes to Division Head in a timely manner.
- Creation and maintenance of standard operating procedures that encourage efficiency.
General Program Administration:
- Manage the program calendar, department scheduling, meeting coordination and minutes, and calendaring
- Serve as primary timekeeper, approve and process leave requests
- Coordinate the talent acquisition process including new position requests
- Support compliance with designated ARC-PA administrative accreditation standards; coordinate communications with ARC-PA as needed and support maintenance of the ARC-PA program portal on at least a monthly basis
- Support alumni communications and development, including the annual Oregon Society of Physician Assistants OHSU Alumni Event.
- Manage onboarding checklist for new hires
- Recruit, hire, orient, and process terminations for classified and temporary staff
- Identify professional development opportunities for staff
- Coordinate faculty recruitment, interview, and appointment process
- Coordinate faculty annual performance and P&T processes
- Manage special projects as needed (e.g. office moves, accreditation site visits, etc.)
- Coordinate program's participation in annual OHSU Convocation and annual program commencement activities
- Support communications with local and national organizations, e.g., Accreditation Review Commission on Education for the Physician Assistant, National Commission for the Certification of Physician Assistants, American Academy of Physician Assistants, Physician Assistant Education Association, Oregon Society of Physician Assistants, Oregon Medical Board, etc.
Required Qualifications
Education:
- Relevant Bachelor's degree. Five (5) years of relevant higher education experience may be substituted for the bachelor's degree.
Experience:
- Four years of administrative experience, including at least two years of fiscal management and project management.
- OHSU experience or work at an academic medical center or in a higher education setting.
Job Related Knowledge and Skills:
- Budgetary, management and supervisory experience.
- Excellent oral and written communication skills, and strong organizational skills with attention to detail.
- Intermediate proficiency with word processing, spreadsheet, database, e-mail and calendaring software; Microsoft Office Suite strongly preferred.
- Proven ability to master new software quickly.
- Demonstrated commitment to diversity, equity and inclusion efforts as related to personnel management and/or recruitment.
- Must be able to perform the essential functions of the position with or without accommodation.
Preferred Qualifications
Education:
- Relevant Master's degree in business administration or similar.
Job Related Knowledge and Skills:
- Working knowledge of Oracle and Cognos/IBM Analytics reporting tools.
Additional Details
- Some weeks may exceed 40 hours depending on program activities and deadlines.
