Description:
The Director serves as a senior level administrator within the Continuing Education (CE) and Summer Camp division who is responsible for a diverse array of administrative and budgeting responsibilities that support the operations of Continuing Education, Hofstra Summer Camp and Youth Programs. This is a highly visible and collaborative role that works closely with various campus offices to include the Office of Financial Affairs, Office of the Provost, Informative Technology Services and the Office of Human Resources.
Responsibilities include, but are not limited to:
Budget:
Works closely with the University Finance department in managing departmental finance to include budget preparation, revenue and expense tracking, processing of expense transfers, expense check requisition forms and invoices, reconciliation protocols, preparation of reports and analysis pertaining to finances, program and enrollment pacing reports.
Assists in the creation, implementation and daily oversight of various departmental budgetary reports inclusive of departmental sub-accounts reports per organization budget line, enrollment, revenue, expense, co-income and yearly comparison revenue, expenses and enrollment tracking reports.
Conducts daily reconciliation of Jenzabar/TouchNet to Banner finance feed to ensure financial compliance.
Assists in processing CE student tuition payments and oversees student tuition refunds.
Manages 3rd party contracts and invoicing, insurance certification tracking and internal contract database.
Performs other related duties as assigned.
Administration:
Supervises clerical staff to include coordinating staff schedules and time sheets, distributing staff workload during peak times, and creating and implementing staff enhancement programs.
Oversees the database input for the creation of camp sessions, courses and class sections in Jenzabar, room reservations in R25, and work orders.
Assists the Senior Director of Information Technology and Finance with computer imaging, installation of program software requirements for youth and summer camp programs.
Coordinates administrative processes related to continuing education, summer camps and youth programs; student registrations, program rosters, course evaluations, student grades, transcripts, certificates, verification requests, issuance of student course schedule confirmation reports, record retention procedures as well as maintaining various databases.
Serves as liaison with the Office of Human Resources and oversees processing and reconciling of instructor, student employee and camp payroll.
Assists Summer Camps as needed with various projects.
Performs other related duties as assigned.
Qualifications:
Bachelor's degree required.
Minimum of five (5) years in a managerial or director level position, preferably in a higher education administrative environment.
Advanced knowledge of business process improvement strategies.
Comprehensive computer technology skills to include Microsoft Office Suite, Ellucian Banner, performing data queries, and constructing/running reports.
Strong interpersonal communication skills.
Ability to build strong business relationships and maintain a high degree of discretion and confidentiality.
Attention to detail and the ability to be flexible and successfully manage multiple tasks.
Must be available to work occasionally on evenings and weekends, in particular during high peak summer camp planning times.
