Summary of Duties
For the WSU Vancouver campus, this position works independently with limited supervision to coordinate a wide variety of support services for complex single or multi-day events such as on-campus events, conferences, seminars, and workshops that require complicated planning and coordination of details.
Commencement is Washington State University's biggest and most important event. This position is also the campus commencement officer which manages the coordination and effective execution of the annual WSU Vancouver Commencement Ceremony. The commencement officer represents WSU Vancouver at the North American Association of Commencement Officers (NAACO) and in the greater WSU system. Responsible for coordinating and communicating with campus stakeholders to ensure the smooth running and professionalism of the event.
This position exercises independent judgment in interpreting and applying rules and regulations and is the keeper of WSU Vancouver Facility Use Guidelines. Oversees and monitors compliance with applicable laws, regulations, policies, emergency procedures, and ADA compliance as applicable for events. Advises staff, event organizers, contractors and others on event matters or decisions of major significance that may affect the organization as a whole. Resolve emergent issues as they arise and recommend alternative courses of action if needed.
Required Qualifications
High school graduation or equivalent and four years of progressively responsible work experience involving public contact such as secretarial, sales promotion, setting up conferences, public information, or in the hospitality industry; OR equivalent education/experience.
Possession of, or ability to obtain at time of hire, a valid, unrestricted driver's license.
Ability to use commonly used office software such as Microsoft Word and Excel, Microsoft Teams, Zoom, email and calendar programs.
Preferred Qualifications
Experience using room/event scheduling software/tools such as 25 Live.
Experience interpreting and applying complex state, local, and institutional rules and regulations.
Experience scheduling and planning events in a higher education environment.
Highly organized and detail-oriented, with a proven ability to multitask and handle last-minute changes.
Strong ability to build and maintain relationships with clients, vendors and staff from partner departments.
Demonstrated experience developing and delivering training in the workplace.
Experience using data and creating reliable reports
Ability to manage a budget and ensure timely financial transactions.
Experience developing tools and processes to ensure efficient and effective workflow.
Experience providing exceptional customer service, which includes handling special requests, and resolving customer dissatisfaction and complaints.
Experience providing excellent customer service to a diverse clientele.
Experience supporting and advancing diversity, equity, and inclusion initiatives.
Certified Meeting Planner (CMP) certification.
Bachelor's degree in Communications, Business Administration, Project Management, Hospitality or related field.
Experience supervising others.

Monthly Salary:
$3,294/month-$3,883/month ($39,528/year-$46,596/year) Range R039. The full range of this classification is $3,294 to $4,385/month, Step A-M. Successful candidates typically begin at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28.
