Position Summary
Provide advanced administrative and accounting support to the Assistant Vice Chancellor and Assistant Dean for Finance, the Chief Financial Officer for the School of Medicine. Coordinate the completion of key financial reports for internal and external distribution, ensuring that they meet a high standard for presentation. Perform diversified administrative functions and respond to questions and inquiries requiring the exercise of discretion and independent judgment in the absence of the Assistant Dean for Finance.
Job Description
Primary Duties and Responsibilities
Provide advanced administrative support for development of School of Medicine financial reports to School and University senior administration, the Medical Finance Committee of the University Board of Trustees, and committees of the School of Medicine Executive Faculty.
Design and develop sophisticated PowerPoint presentations for various internal and external groups including the Executive Faculty and Medical School Finance Committee and may include Board of Trustees support.
Support the Assistant Vice Chancellor/Assistant Dean for Finance in their various roles on committees and subsidiaries. For example as Secretary of the Telecommunication Facilities Corporation (TFC). Barnard Cancer Institute (BCI) and Washington University Medical Corporation (WUMC).
Attend all regularly scheduled meetings and when asked, keeps the official records and sends communications.
Coordinate Board Meetings and sub-committee meetings when necessary.
Send out finance communications on behalf of the AVC of Finance as requested.
Develop and maintain Finance website using Word Press, website development and html to ensure consistent communication of policies and procedures.
Coordinate schedules and maintains the calendar of the Assistant Vice Chancellor of Finance.
Order and maintain supplies for the office or members of the department, coordinate the onboarding of new employees, check mail, organize moves and other activities impacting Finance Office such as office luncheons.
Provide Senior Finance Approval on behalf of the AVC of Finance on all travel and entertainment expense for the medical school as needed.
Assist with various department/staff meetings, committee meetings, university programs, visitor schedules, etc. by providing secretarial/administrative support and independent follow-through.
Prepare and collect materials for meetings, programs, etc. often utilizing initiative in the absence of clear instruction.
Preferred Qualifications
College level courses in accounting and accounting experience.
Training and/or experience in financial reporting formats and conventions.
Advanced proficiency in Excel, Word and PowerPoint.
Demonstrated effective command of the English language including verbal, written and interpersonal communication skills.
Effective organizational skills.
Regular use of initiative and sound discretionary judgement.
Ability to manage multiple projects with minimal supervision.
Professional demeanor and composure suitable for a senior administrative office.
Ability to work with a diversified group of professionals, providing tactful direction as necessary.
Required Qualifications
Equivalent of a bachelor's degree and five to seven years of administrative experience in an executive office environment, or equivalent education.

Salary Range
$24.97 - $38.71 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
