The Banbury Center at Cold Spring Harbor Laboratory is seeking a highly organized and detail-oriented individual to join our team as a Finance and Development Coordinator on a temporary basis (maternity cover). Reporting directly to the Executive Director, you will be responsible for overseeing the daily financial operations of the Center and providing administrative support.
Position Responsibilities
Development and Finance 1. Track administrative and meetings budgets 2. Prepare and issue invoices to funders and assure timely reconciliations 3. Regularly communicate (email) with corporate sponsors about use of benefits (in collaboration with relevant CSHL departments) 4. Assist the director in submitting online funding proposals
Meetings 1. Issue (email) travel and reimbursement guidance to meeting participants 2. Coordinate participant travel reimbursements, including collecting and processing submissions for Accounting, processing credit card payments. 3. Work with Communications and Special Projects Coordinator to prepare meeting materials, including participant books, badges 4. Assist with any additional meetings support as needed
Office Administration 1. Process Banbury office/director expenses 2. Ensure relevant Banbury database and digital files are accurate and updated 3. Submit requisitions for office supplies
Position Requirements
• An associate’s or bachelor’s degree is preferred. • 1-3 years’ experience in an equivalent position • Excellent administrative and organizational skills. • Strong oral and written communications skills, and the ability to multitask, are essential. • Experience with MSOffice is required; experience with MacOS, Google Sheets, Filemaker Pro preferred • Some experience with accounting or tracking budgets • Demonstration of attention to detail, flexibility, accountability • Effective communication and collaboration internally and externally. • Ability to deliver at pace, and to meet deadlines
