Administrative Associate (Administrative Associate II - MR04)

Anticipated Hiring Salary: $17.00/hr or $35,000/yr plus benefits
The Administrative Associate provides support for the department head, faculty, adjuncts, students, and student organizations. The position is often the first point of contact for visitors and community professionals. The Administrative Associate oversees the daily operations of the office and provides clerical support for various departmental processes.
Duties and Responsibilities:
Manages front desk operations; provides support to faculty, adjuncts, students, student organizations, centers, and institutes; provides internal customer service; processes textbook and supply orders; assists with development of department class schedules; assists department heads, endowed chairs, centers, and institutes with events and activities (presentations, conferences, guest speakers, and seminars); takes minutes for departmental meetings; supervises student workers; maintains office supply inventory; provides record management per university policy; and provides general clerical duties.
Reconciles departmental ledgers, procurement card statements, and payroll reports; monitors budget; processes invoices and travel reimbursements; initiates documents for various processes, including payroll and miscellaneous reimbursements; updates monthly account analysis spreadsheets; initiates and processes new hire paperwork for full-time faculty hires, adjunct positions, and student workers, and ensures all required documentation is obtained; arranges travel for faculty, students, and visitors; coordinates special events and projects; and coordinates meetings and conference room reservations.

Minimum Qualifications: High school diploma or GED and three years of experience in an office environment.
Preferred Qualifications: Five years of experience in an office environment and experience in IRIS (SAP) and Banner.
