Description:
Reporting to the Senior Associate Dean for Finance and Administration, the Director serves as a senior level administrator responsible for a diverse array of administrative, management and accounting duties. The Director manages the faculty clerical staff, acts as a liaison with the University Physical Plant and Telecommunications Department and assists the law school's Senior Associate Dean for Finance and Administration, Senior Associate Dean for Academic Records and Registrar and Executive Director of the Paralegal Studies Certificate Program with technical finance, registrar and academic reporting responsibilities.
Responsibilities include, but are not limited to:
Staff supervisory duties include coordinating staff schedules and time sheets, distributing staff workload during peak times, facilitating faculty/secretary relationships, and creating and implementing staff enhancement programs.
Facilities-related duties include coordinating with custodial staff as needed, monitoring the state of the Law School space, event set up and creating and tracking work orders for the trades. Other facilities duties include coordinates office moves; orders new furniture, carpet, flooring and fixtures; orders and follows up on painting and repair and replacement.
Acts as point person with public safety on fire department inspections, fire alarms, door locking issues, parking and other public safety matters.
Assists with course set up, registration and academic transcripts for the paralegal certificate and online graduate degree programs.
Assists the Senior Associate Dean for Academic Records and Registrar with management of J.D. exams.
Prepares program scheduling and track and report on class attendance, grading and certificate completion for the Paralegal Studies Certificate Program.
Processes payroll submissions and obtain approvals for instructors in the Paralegal Studies Certificate Program.
Works with University Grants Management Office on post award grant accounting and grant time and effort reporting.
Responsible for other related duties as assigned.
Must be available to work occasionally on evenings and weekends.
Qualifications:
Bachelor's degree required.
Minimum of five years in a Manager- or Director- level position in a higher education administrative environment.
Minimum of three years of accounting experience.
Advance knowledge of business process improvement strategies.
Comprehensive computer technology skills to include Microsoft Office Suite, Ellucian Banner, performing data queries, and constructing/running reports.
Strong written and interpersonal communication skills.
Ability to build strong business relationships and maintain a high degree of discretion and confidentiality.
Attention to detail and the ability to be flexible and successfully manage multiple tasks.
Preferred Qualifications:
Grant accounting experience preferred.
Proficiency with Jenzibar database platform.
