Position Summary
Manages and administers day-to-day operations of Chemistry Department. Manages department budget, oversees student services and research administrative tasks, and supervises, directly and indirectly, a staff of 30.
Job Description
Primary Duties & Responsibilities
Departmental Administrative Functions
Directly or indirectly supervise and manage administrative, clerical, and technical staff (30 people), including recruiting, hiring, performance evaluations, terminations, assigning raises, etc. Communicate effectively with staff at all levels, including staff external to the Chemistry Department.
Develop networks and build alliances across the University by acting as proxy for the Chair and representative of the Chemistry Department, liaising with administrators and directors in other academic departments, schools, and offices.
Serve as lead âœproblem solverâ for the Chemistry Department: recognize internal politics and solicit input to generate multiple possible solutions; critically listen to feedback from stakeholders.
Act as one of the Chairâ™s primary advisors for operational and academic matters in the department. Make decisions independently when appropriate or provide recommendations to the Chair
Work as team member or chair of several departmental committees to make influential decisions about administrative and academic issues.
Manage numerous ongoing projects in parallel: effectively organize time and determine priorities, delegate tasks to appropriate staff or faculty members, follow-up to review results and plan next steps, communicate conclusions via written reports or oral presentations.
Coordinate, write, and complete surveys and reports for internal and external reviewing bodies.
Budget
Develop and manage annual operating budget (> $900k).
Manage graduate student budget (> $1.5M).
Advise Chair of Chemistry on large purchases and long-term strategic planning.
Organize and oversee payroll processes for all academic, staff, and student employees.
Assess lab and course fees.
Student Services and Management
Oversee course catalog, including teaching assignments, classroom assignments, class meeting schedules, and registration of students for classes.
Serve as Summer Session and Post-Baccalaureate Premedical Program coordinator for Chemistry: Develop course catalog, recruit and hire instructors, liaise with program administrators.
Recruit and organize graduate student graders, proctors, and others to serve academic roles in the department.
Assign teaching experiences to graduate students.
Approve hiring of undergraduate students as teaching assistants, mentors, etc. to supplement the teaching roster.
Grants
Oversee research administrative tasks, such as post-award grant administration, payroll, accounting, and purchasing.
Administer departmental training grants and other infrastructure grants.Â
Responsible for all compliance issues and record retention.Â
Facility Management
Manage renovations and strategic planning for facilities in Chemistry.
Supervise Chemistry Building Supervisor who manages day-to-day repairs and maintenance of the six Chemistry buildings (222,000 sq. ft.).
Complete annual space planning and survey.
Advise Chair and participate on committee to assign lab and office spaces to research groups in Chemistry.
Perform other duties as assigned.
Preferred Qualifications
M.S. or PhD in Chemistry or related field with prior academic, industrial or government laboratory experience.Â
Prior experience with student services and contracts and grant administration.
Previous supervisory experience in an academic, industrial or governmental laboratory environment.
Strong interpersonal, organizational, management, and leadership skills.Â
Ability to supervise and train staff, monitor workloads, and follow University policies and procedures.
Required Qualifications
Bachelorâ™s degree in related field and five years of relevant experience.

Salary Range
$70,300.00 - $120,000.00 / AnnuallyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
