Job Description Summary
The purpose of the Executive Administrator role is to assist the Head of Valuation and Advisory and other senior members of the business in winning and delivering of services to our local and global clients.
The role is responsible for providing administrative and finance support to the Head of Valuation and Advisory in a highly responsible, timely and confidential manner as well as being the point of contact to the wider NSW and National businesses. The role will be geographically based in Sydney.

You will also be responsible for:
- Manage and support emails and diary of the Head of Valuations.
- Adeptly handle incoming communications and respond to internal requests for information on a timely basis
- Initiate and follow through changes to direct reports employment status' - liaising primarily with HR
- Handle sensitive and confidential information with discretion
- Prepare and submit expense receipts in a timely manner for the Head of Valuation and Advisory.
- Create meeting agendas and organise meeting material to be distributed as necessary in a timely manner
- Provide financial/analytical support to the Head of Valuations.
- Processing vendor invoices via JDEdwards & Converga.
- First point of contact for finance general related queries.
- Management of Debtors for the National Team.
- Raise client fee invoices
- Typing, formatting and production of valuation reports to presentation standard.
- Manage the ordering of online property searches as required.
- Book flight and hotel arrangements in a timely, cost effective manner for interstate and international travel bookings for the NSW valuation team.
- Operational management of valuation administration systems including job registration database.
- Provide support and assistance to the national EAs.
To be successful in this role you will have:
- Minimum of five years high level administrative C-Suite experience. This role will be supporting Head of Valuation and Advisory.
- Sound knowledge and understanding of finance related tasks
- Strong attention to detail and accuracy
- Excellent organisational skills with ability to multi-task and prioritize to meet short deadlines
- High standard of computer proficiency (advanced Microsoft Office Suite including Word, PowerPoint, Excel)
- InDesign, highly desirable but not essential.
