In the role of Finance Assistant, you will provide accounting and administrative support to the Accounting, DATS (Data, Analytics & Technology Services), Donor Compliance Services, and Gift Administration teams.
Core Responsibilities include but are not limited to:
Prepare and submit invoices and prepare journal entries for various budget corrections and transfer requests.
Assist with mailing of receipts, pledge reminders, and miscellaneous letters.
Track unit budgets and expenditures; assist with budget preparation, budget reporting, and reviews.
Interact with vendors to track invoices, recurring expenses, software subscriptions, expirations, etc.
Coordinate calendars and schedule meetings for Finance and DATS team members, including preparing agendas, posting materials, and taking notes/meeting minutes.
Prepare professional development requisitions, expense reports, invoice payment requests, and other departmental forms as requested.
Coordinate travel activities as requested – research options, submit travel requests, and make air, hotel, and rental car reservations.
Assist with mail room processing, schedule and provide support for staff training sessions, and other assorted administrative activities.
Qualifications
Education & Work Experience
High school graduate or GED, associate degree preferred.
3 years of work experience related to employment area. Education may be substituted for years of work experience.
Desired Skills & Experience
Strong communication skills (both written and verbal), professional judgment, organization planning, diplomacy, and professionalism.
Must be able to handle a number of activities simultaneously with attention to detail and adherence to deadlines and accuracy.
Ability to work independently and as part of a team. Must be adaptable, flexible, and self-directed.
Must be proficient in Microsoft Office suite of applications and possess the ability to learn in-house computer systems.
Must adhere to strict confidentiality standards.
Accounting/bookkeeping experience is preferred.
