City and Country School, an independent, non-sectarian day school enrolling children ages 2-13, seeks a full-time Administrative Assistant to the Director of Finance and Operations.
The Administrative Assistant position requires a friendly, out-going, individual with strong organizational skills.
This person will be handling and privy to confidential information and should be someone that has the ability to pay attention to details and deadlines and is able to multitask.
This position requires an individual with the ability to communicate tactfully and effectively (oral and written) with faculty, administration, staff, and our Board of Trustees.
The candidate should be proficient in Microsoft Word, Google Workspace, PowerPoint, and Excel.
The ideal candidate will be able to work independently, think logically, make decisions, problem solve, and work well in a fast-paced environment.
Prior experience working in a school environment is a plus.
A Bachelor’s Degree is required.
THE POSITION AND RESPONSIBILITIES

The Administrative Assistant will be an integral part of the Business Office, reporting daily to the Director of Finance and Operations.
The specific functions include, but are not limited to, the following:
Support the Director of Finance and Operations in all aspects of their role, including those concerning employee and labor relations, financial management and functions of the Business Office.
Organization and maintenance materials, including confidential and/or sensitive information, for the Director of Finance and Operations’ preparation for and attendance at various meetings, presentations and functions.
Maintain calendars and schedule meetings.
Review correspondence to the Director of Finance and Operations, and respond to such correspondence on behalf of the Director, as directed.
Greet and direct callers and visitors to the Business Office.
Copy, scan, email, sort, and distribute documents – including those that may include confidential and/or sensitive information – as necessary.
As directed, accompany the Director of Finance and Operations at management meetings, for purposes of note-taking and development and effectuation of follow-up actions.
Reconcile monthly financial receipts and expenses, and ensure that all cardholders submit documentation in a timely manner.
Review, organize, file and maintain documents, including all paid invoices, as well as those containing sensitive labor relations and human resources-related information.
Assist in the collection of receipts and other information to ensure accurate expense reimbursement through payroll.
Experience with Blackbaud Financial Edge, Blackbaud Smart Tuition, and Adobe Acrobat.
The individual will also support the Controller, the Director of Human Resources (HR), School Nurse and Director of Communications as needed.
This individual will support the on-boarding process, help facilitate employee leave of absence requests, accident reports (employee and student), Employee vaccine and flu record keeping and the accumulation of Department of Daycare employee data.
This individual will also help maintain all employee folders and assist in facilitating trainings when necessary as well as assist the Director of HR in employee relations record keeping.
City and Country School offers a competitive compensation package, commensurate with level of experience, plus benefits. The salary range for this position is $50,000-$65,000
