The Associate Dean for Finance and Operations is the chief financial officer for the Sam Fox School including the Kemper Art Museum. The Associate Dean will lead all aspects of financial planning, reporting, and analysis in support of the schoolâ™s strategic priorities. This includes oversight of the schoolâ™s business operations as well as facilities planning and management. Key areas of focus include budget development, accounting and HR business operations, capital projects planning, and compensation planning and analysis. The Associate Dean is a key member of the leadership team for the Sam Fox School and works closely with the Dean to develop and implement strategic operational initiatives.
Primary Duties & Responsibilities
Financial Planning, Analysis and OversightÂ Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â
Implement a school-wide budget planning and management system that supports strategic priorities; working with the Dean, establish an annual budget planning process that aligns with implementation of the schoolâ™s strategic plan and outlines a clear timeline of meetings and milestones for academic, administrative, and museum leaders to participate in the process.
Support the Dean, directors, chairs, and administrative unit managers in their annual budgeting processes with unit financial reports and analysis. Generate quarterly and annual financial statements to help chairs and directors understand the fiscal health of programs. Provide support and guidance in determining faculty and staff compensation packages and raises.
Work with the director of the Mildred Lane Kemper Art Museum to support the annual CFU-based museum budget process; provide reports and analysis to the director as requested.
Working closely with the Dean, produce the schoolâ™s annual budget documents and participate in the University budget planning and review process. Prepare analysis and presentations for the Dean and university senior leadership.
Manage preparation of reporting packages that include financial statements, identification of key trends, actual vs. budget variances, and complete executive-level explanations of differences.
Working with the directors, Associate Dean of Students and Assistant Director of Financial Aid, generate proposals and analysis to set the schoolâ™s graduate tuition rates and financial aid awards. Create models to award packages for graduate programs that balance enrollment targets and the schoolâ™s budget.
Represent the school in financial reviews and negotiations with WU central administration. Interact with WU senior leadership, providing insight and information to meet the reporting requirements and deadlines of the WU finance areas.
Actively participate in the schoolâ™s long-term strategic planning efforts, providing resource allocation recommendations. Provide financial models for new degree programs.
Work with the Deanâ™s Office and the Kemper Directorâ™s Office to plan for optimal administrative staffing of the organization; provide reports, benchmarking, models, and analysis to help make strategic staffing decisions regarding hires, promotions, and compensation.
Collaborate with the Dean, Associate Dean, and Senior Director of Development on reports, proposals, and presentations to support fundraising and stewardship initiatives.
Financial Management and Business Operations Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â
Develop, establish, and clearly communicate financial goals, policies, and procedures; ensure accountability for efficient implementation.
Direct and oversee the quality and timeliness of financial and accounting transactions, including payment of invoices, reimbursements, use of university vendors, insurance, transfers, and other financial and business office functions.
Manage partnerships with centralized services, including WU Shared Services, to leverage beneficial campus resources and support efficiency within the schoolâ™s transactional operations.
Develop and maintain an adequate system of internal controls throughout the school; ensure compliance and routinely assess and update policy regarding internal controls as needed.
Work closely with Director of Research and Innovation to assure financial compliance for grants and contracts.
Oversee development and delivery of decision support analytics and systems to support reporting activities and data analysis.
Manage all tax reporting requirements and audits of the school. Ensure corrective action is taken on noted deficiencies, if any.
Act as school liaison with Treasury Services regarding banking issues and study abroad programs.
As needed, represent the school in discussions with Purchasing regarding vendor selection.
Work closely with constituents in the school to respond to questions and concerns and provide transparent and timely reports as needed.
Recruit, manage, develop, and evaluate a high performing business operations team.
Capital Projects and Facilities
Work with the dean, college directors, museum director and assistant director, chairs, and Manager of Facility Services to produce annual and long-term operating and capital budget proposals in alignment with strategic priorities. Attend annual capital projects planning meeting with WU Facilities.
Supervise Manager of Facilities and serve as a resource for facilities planning.
School and University RepresentationÂ Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â Â
Participate actively in the deanâ™s senior leadership team, proactively identify issues for attention, and make recommendations for improved financial management.
Build a network of peers within business units around Washington University.
Represent the Sam Fox School as needed with departments in the Central Fiscal Unit: Information Technology, Financial Services, Parking and Transportation, Human Resources, Advancement, Office of Sponsored Research Services, Sponsored Projects Accounting, Office of International Students, and other organizations focused on business operations.
Participate as a member of standing and ad hoc committees in the functional areas listed above as requested.
Participate in university-wide budgeting, analysis, planning, and reporting processes as requested.
Other duties as assigned.
Five years of related experience in a higher education environment strongly preferred.
Knowledge of Workday and Adaptive Planning.
Highly developed interpersonal skills; excellent verbal and written communication skills.
Strong ability to interact with people and manage situations both internally and externally as well as the ability to build strong relationships with departments.Â
Strong spreadsheet, quantitative and analytical skills and the ability to organize and manage data.
Proven decision-making competence, based upon well-informed decisions.
Confidence and enthusiasm, with the requisite leadership skills to develop strong relationships with all other constituents within the University.
The capability for juggling multiple tasks simultaneously and being flexible in order to adapt to a fast-paced environment.
Demonstrated success in partnering with other managers to create and work toward joint objectives; facilitation skills.
Outstanding organizational and process development/management skills.
Bachelorâ™s degree in higher education, business, accounting or related field.
Ten years of directly related experience in progressively responsible senior level financial and administrative leadership positions.Â
Previous supervisory experience required.
Base pay is commensurate with experience.The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
