Summary of Position: This position provides strategic-level, finance, marketing, and administrative support to the NationalInstitute for Pharmaceutical Technology & Education (NIPTE), its member institutions, the Board of Directors, Faculty Leadership, Faculty Committee, focus groups, centers of excellence, industry partnerships, and other collaborations as they occur. Additionally, this position is responsible for dotted-line leadership with additional administrative and student resources. The position ensures the execution of the NIPTE vision and mission through high-level financial management of programs, events, multi-million-dollar grants, and organizational procedures, practices, and logistics. To drive results toward the NIPTE vision and mission, this role must engage with NIPTE leadership and faculty to provide comprehensive financial management – including day-to-day, investment strategy, grant management, and annual audit; deliver top-notch marketing and communications – including website and print collateral development; provide ad hoc and ongoing assistance to NIPTE Executive Director – including calendar management, technology support, and more.
Principal Duties and Responsibilities: 35% Finance Management
-Create and maintain finance policies and procedures, including the investment policy. -Complete day-to-day bookkeeping tasks in QuickBooks and the annual financial audit. -Participate in the annual budget process, advising on line item amounts and providing reports. -Prepare and deliver quarterly and annual reports to the Finance Committee; work with Treasurer as needed. -Prepare reports for Board of Directors. -Track subaward payouts in QuickBooks. -Prepare/respond to ad hoc requests. -Manage banking and investment account relationships; investigates and recommends investment solutions.
35% Grant Management Responsible for the pre-award and post-award financial management of sponsored projects and other programs related to NIPTE.
-Prepare and route subawards and amendments for signatures. -Manage subaward templates and revisions. -Complete quarterly and annual online reports. -Interface with funding agencies, as needed. -Responsible for identifying financial and compliance issues and proposing solutions. -Manage NIIMBL Membership which includes: preparing cost share reporting, routing for signature agreements, and interfacing with general counsel as needed.
15% Marketing and Communications -Develop and manage comprehensive program and event marketing strategies to facilitate timely and accurate external and internal communications. -Develop and maintain contact management systems, such as MailChimp, online forums, user info, and mailing lists to and among the members, affiliates, and partners. -Maintain brand guidelines, logos, and trademarks. -Proof and review marketing and communication materials.

Required Qualifications: -BA/BS plus at least 4 years of experience or a combination of related education and work experience to equal 8 years. -Experience with QuickBooks desktop and a solid foundation in accounting practices. -Expert-level experience with MS Excel, Word, and PowerPoint; specifically Excel spreadsheets, including the ability to write functions, formulas, and macros. -Excellent communication skills, both oral and written.
Preferred Qualifications: -Experience with event management -Experience working with non-profit boards and ancillary individuals. -Experience working with federal grants and contracts -Wordpress multisite, including plugins, custom HTML and CSS coding, and other integrations -Proficient in Adobe Creative Cloud – Illustrator, Photoshop, InDesign, Acrobat
