Soka University of America is currently seeking qualified candidates for a full-time Assistant to the President and Executive Vice President for Finance and Administration. The Assistant will provide administrative support to the President and Executive Vice President for Finance and Administration.
Candidates should demonstrate responsiveness toward and understanding of diverse student backgrounds, especially with regard to socioeconomic status, race, ethnicity, culture, ability/disability, sexual orientation, and gender identity and have a willingness to facilitate the university’s mission to develop global citizens.
Essential duties include but are not limited to:
Participate in university-wide projects and committees on behalf of the office of the President and the Executive Vice President for Finance and Administration.
Prepare for Board of Trustees meetings including all travel logistics, purchase requisitions, meeting discussion materials production, schedules, room reservations, catering, meeting room set-up, etc.
Liaison between various areas for scholarship and award ceremonies, confirming room reservations and preparing recipient invitations, certificates, trophies, photography, etc.
Coordinate Makiguchi scholarship disbursements with recipients.
Coordinate student meetings with President including room reservations, facilities requests, etc.
Support Soka Global Citizen Award event, travel logistics, event preparation, etc.
Serve on commencement committee, order commencement regalia for Board members and President, and logistics support for commencement speaker.
General administrative functions include but are not limited to:
Workday tasks
Schedule meetings
Draft letters, newsletters, words, reports, university-wide emails, and take minutes at meetings
Prepare presentation materials, correspondence and reports as assigned
Set up and maintain files (including electronic) of correspondence, records, and other documents
Develop and maintain budgets
Order office supplies
Reserve and set up rooms for events and meetings
Update university website and portal
Research
Manage calendars
Athenaeum scheduling
Screen calls and visitors and refer inquires to the appropriate departments
Greet visitors and host special guests
Other related duties and projects as assigned
Qualifications:
Education
Bachelor's degree preferred
Experience
Relevant administrative work experience preferably in a university environment
Skills
Excellent oral and written communication skills.
Experience using Workday preferred.
High proficiency in personal computer systems utilizing databases, word processing, graphics, spreadsheets, to include MS Word, MS Excel, MS Outlook, and other Microsoft applications.
Ability to independently write general correspondence and reports.
Strong skills in proofreading and editing. Must be detail oriented.
Knowledge of general office practices and procedures.
Ability to maintain accurate filing system and records.
Maturity and grace to manage complex relationships and issues.
Skills in research and information gathering.
Ability to work accurately with a high level of efficiency.
Experience in project management.
Capacity to work well independently and with a team in a high-pressure fast paced environment.
Bilingual in English and Japanese.
Ability to handle confidential matters and exercise diplomacy and discretion.
Ability to maintain multiple priorities, projects and adhere to stringent deadlines.
Ability to work some nights and weekends.
Capacity for developing and sustaining effective relationships with administrators, faculty, staff, students, and the community.
High ethical and professional standards.
