UW Medicine Finance has an outstanding opportunity for a LIMITED TERM FINANCE BUSINESS SYSTEMS ANALYST
The FINANCE BUSINESS SYSTEMS ANALYST (BSA) will play a key role in the implementation of an enterprise-wide Finance and Supply Chain system, and the modernization of related business processes.
The Business Systems Analyst (BSA) will provide analytical support for the assessment and retirement of legacy systems being replaced by the new Financial Workday system. Retirement and data retention will be assessed, planned and designed for approximately 107 systems. These systems are part of several distinct business process areas in Financial and Supply Chain areas and will require this position to shift between these contexts on a daily basis. Additionally, the owners of these systems and Subject Matter Experts (SMEs) needed to inform this work cross multiple UW Medicine departments (Finance, Accounting, Supply Chain Management, IT Services) requiring this position to build and maintain many working relationships across these distinct departments.
The BSA will also interface with the UW Finance Transformation program to represent UW Medicine's interest and initiatives. This will require a heavy focus on detail to ensure we are meeting the demands of the program schedule. Additionally, working with the program will require the use of persuasion and other soft skills to ensure the work of the program best fits the needs of UW Medicine. Timeline is another complexity as UW Medicine has a large quantity of work to complete in this space to support the July 2023 go live date. Much of this work is front loaded as we need to identify Business, System and data retention requirements, design and build activities to support the final disposition of these systems. This role will play an essential role in driving this work to completion on very tight timelines.
The UW Finance Transformation Program (UWFT) is a $270M initiative to transform the University’s financial systems and processes, including academic, administrative, and healthcare. The IT scope of UWFT includes replacement of legacy core financial systems with a SaaS solution (Workday) and rationalization of distributed financial systems, reporting, and integrations across hundreds of units. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances in excess of $7B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW’s highest administrative priorities, this multi-year initiative is one of the largest finance system programs in Washington State and the outcome of the program will be highly visible at all levels of the University, the State, and nationally in higher education.
The BSA will participate in all aspects of dispositioning retiring legacy systems that previously or currently manage a broad range of accounting and financial management processes. The BSA will work with subject matter experts to analyze and understand business requirements and collaborate with application development teams, business teams, ITS teams and key stakeholders to define, plan, design, support build solutions and test scripts/planning for robust detailed plans to retire systems now or in a projected future time. This position may also provide business systems analyst support to UW Medicine functional teams to support documenting current and future state workflows, as required. The position will review information previously provided to draft requirements and complete requirements with System and Business owners. These requirements will be translated into design solutions and produce testing plans/scripts for more than 100 systems which need to be dispositioned and eventually retired for legacy systems, potentially using different methods/processes for each
The UWFT program size and complexity requires a high level of project management activity to ensure visibility of progress across teams. This position will be required to assist in these project management activities for the team including updating work plans to indicate progress of efforts, maintaining system, business and record retention requirements, designs/plans for each retiring system, maintaining relevant issues in Jira, and providing input to status reporting.
DUTIES WILL INCLUDE, BUT ARE NOT LIMITED TO:
• Analyze and understand business, system, and data retention requirements and collaborate with application ITS teams, business teams, and key stakeholders to design robust, scalable, operational, system solutions for retiring systems • Define and document requirements needed to prepare systems to retire in the future. These requirements may include data retention/legal requirements, user needs, application, database layers and integration requirements to provide a complete inventory to assess the best solution for system following active use • Create and maintain requirements for Business, System and Data Retention • Maintain documentation library and ensure completeness and accuracy for each system • Support engineering teams to provide accurate guidance to their build and test efforts • Help manage requirements through their lifecycle • Facilitate working sessions with a wide range of stakeholders, subject matter experts, and project staff • Assist with development of test cases, test scripts and test plans • Help manage test execution and track agreed to design solutions • Act as a subject matter expert through the build and prep for go-live phases (as it impacts retiring systems) • Support Workday go-live (as it impacts retiring systems) • Provide support during the transition to operations phase, including lessons learned from each phase • Help identify, assess, document, and manage issues and risks through their lifecycle • Provide work effort estimates and assist project managers build and maintain project plans • Provide timely status of all assigned work efforts • Be a proactive member of the program team to help achieve the highest level of program efficiency and execution quality
REQUIRED:
Bachelor's degree in Computer Science, Information Technology or related degree • Minimum of four years' experience performing complex work in business system analysis • Experience working with a wide range of data collection, analysis, and visualization tools • Demonstrated collaboration skills with colleagues at all levels and across different organizations • Demonstrated ability to work independently and with minimal supervision • Experience facilitating meetings, constructively addressing input and criticism, and resolving conflicts • Willingness to learn and use new technologies when there is a gap in experience and knowledge • Ability to present complex technical material to non-technical audiences in an approachable way • Ability to understand and communicate business and system relevance to management / leadership teams Equivalent experience may substitute for stated requirements
DESIRED:
• Experience working in a healthcare or academic medical center environment • Specific project experience with Finance or other ERP system implementations as a business or systems analyst • Data parsing experience using an Office tool or a development tool • Understanding of different data types in databases and programming languages • Understanding of commonly used legacy Finance and Supply Chain Management applications data types in databases and programming languages • Experience defining Systems retirements, data retention and / or disposition of Finance legacy applications
CONDITIONS OF EMPLOYMENT:
This position will be REMOTE until the State of Washington lifts the “Stay at Home” order, and UW Medicine provides approval for staff to work onsite. If/when restrictions are lifted, this position will have the option to be 100% remote or be based onsite at the University of Washington Tower, 4333 Brooklyn Ave NE, Seattle and may travel to other UW Medicine locations as required.
