Position Title: Finance and Personnel Specialist, Microbiology and Immunology

Position Summary:

• Processing and approving spending/receivers; communicating order and invoice statuses; investigating discrepancies between anticipated costs vs invoiced amounts
• Managing purchasing and monthly reconciliation
• Reviewing and approving spending for Concur Expense Reports
• Creating financial reports and forecasts; reconciling accounts
• Processing spending on startup accounts
• Monitoring distribution of direct and indirect costs
• Calculating salary recovery

• Recruitment – posting jobs, submitting hiring proposals, and onboarding new employees
• Appointment processing and reappointments
• Serving as liaison between lab staff and HR, as well as between faculty and UB business offices
• Completing cost transfer forms
• Completing and submitting visa applications

• Monitoring deadlines for grants, including extensions/at-risk/end dates
• Preparing and monitoring blanket orders and service contracts

Minimum Qualifications:

• Bachelor's degree
• Minimum of two years of experience in related field
• Excellent oral, written, and interpersonal skills
• Proficiency in MS Office suite
• Detail-oriented individual with excellent organizational, problem-solving, and analytical skills
• Ability to effectively manage competing priorities
• Self-directed professional who demonstrates a commitment to learning new skills

Preferred Qualifications:

• Experience with UB Systems
