The Project Coordinator to the CFO/VPFA plays an integral role in supporting the success of the college by providing a variety of support services to projects under the oversight of the CFO/VPFA in a service-oriented environment. This individual will collaborate closely with the CFO/VPFA and their direct reports, to plan, execute, and track strategic projects and critical business activities. The role will also work closely with the CFO/VPFA in support of their work with the board and several of its committees.
Required: High school diploma or equivalent
Preferred: Bachelor's Degree
Required: Three years of project coordinating or executive professional administrative support experience.
Preferred: Five years of project coordinating or executive professional administrative support experience. Direct knowledge of or experience with project coordinating, document management, reporting, calendaring, and budgeting.
Experience with Microsoft Suite including OneDrive, Word, Excel, and PowerPoint. Familiarity with enterprise databases and applications (e.g., Workday, Slate, Softdocs) and willingness to learn others as they emerge. Familiarity with productivity and communication tools (e.g., Teams, Asana) and willingness to learn others as they emerge.

Salary Range: $52,254 - $61,475
Coordinate the daily operations and administrative activities of various projects under the CFO/VPFA's oversight. Organize, attend, and participate in project and stakeholder meetings.
Juggle multiple projects and priorities simultaneously in a de-centralized environment
Work with various teams to remove impediments
Coordinate internal and external resources to help deliver an amazing end user experience
Act as a point of communication between company teams and external resources
Ensure all parts of an assigned project are processed, organized, and progressing according to predetermined timelines and deliverable dates
Assist in the process of defining project scope and objectives, involving all relevant stakeholders to confirm feasibility, monitoring expectations throughout the process
Document decisions and open items from meetings, following up with key constituents on pending matters and deadlines
Coordinate with the team on project work to keep projects moving according to schedule and budget
Report and escalate to management as needed; ask questions when you don't know the answer
Create and maintain comprehensive project documentation with the assistance of the development team
Board committee support - Works with the CFO/VPFA to support meeting needs for the Finance and Audit & Risk Management committees.
Provide logistical support to the CFO/VPFA, to include but not limited to posting meeting materials to the board portal (OnBoard), ensure access to loaded materials, and host and navigate remote meeting technologies (e.g., Zoom, Teams) or others as they emerge.
Capture the minutes of each meeting and ensure they are ready to be posted for committee review at the following meeting. Ensure appropriate filing once approved and make sure they are accessible for additional review and the audit process.
Oversee accounting for the office of the CFO/VPFA- monitor the budget, track expenditures, responsible for the department credit card, prepare reports, reconcile accounts, and process invoices.
Maintain the CFO/VPFA electronic and physical filing systems (e.g., financial and legal documents; contracts, agreements, and reports).
