SMART Reading is a children’s literacy nonprofit that serves kids in Oregon’s highest need schools and marginalized communities with two ingredients critical for literacy and learning success: shared reading time and books to keep. We mobilize volunteers to provide reading support and access to books for children from birth to 8th grade, helping to build confidence, literacy skills and a love of reading. SMART Reading provides a meaningful way for Oregonians to make a direct impact in their communities.
SMART Reading has an annual operating budget of $5 million; employs 40 staff; utilizes the contributions of more than 8,000 volunteers to serve 20,000 students annually. In addition to a central office in Portland, SMART operates a statewide network out of seven regional offices serving 31 of Oregon’s 36 counties.
The Director of Finance & Administration (DFA) will be responsible for effective oversight of all finance and accounting activities. The DFA will lead SMART Reading’s day-to-day finance operations, including functional responsibility over accounting, accounts payable, accounts receivable, grants, fiscal compliance, treasury and risk management functions. The DFA will ensure that SMART Reading has the systems and procedures in place to support effective program implementation and conduct routine audits. The DFA will work closely with executive leadership, program leaders and their staff, not only to educate them regarding finance and accounting procedures, but also to explore how the finance function can support program operations.
The DFA supervises an accounting and office manager, who is the other finance staff person responsible for much of the day-to-day bookkeeping activity, and who also provides general administrative support to the Executive Team and beyond.
The ideal candidate will be a strategic thought-partner with the leadership team, while also being comfortable and capable in a hands-on role with day-to-day accounting duties. They will have a demonstrated commitment to diversity, equity and inclusion, and broad experience in not-for-profit accounting and finance.

Leadership & Governance:
Participate on the Executive Team in collaborative, team-oriented fashion and supporting and/or leading key organizational initiatives including operationalizing racial equity and process improvement.
Serve as point of contact for legal/legislative issues impacting the organization; act as liaison with the professional community (attorneys, accountants, etc.).
Manage or assist with special projects on an as-needed basis.
Serve as the liaison to and facilitator of the Board Finance Committee.
Supervise the day-to-day accounting work of the accounting and office manager.
Manage all regularly-occurring financial/accounting transactions: accounts payable, cash receipts, bank deposits.
Review all balance sheet accounts and ledgers, ensuring reconciliation to the general ledger on a monthly basis; manage and report on organizational cash flow and forecasting.
Manage monthly reconciliations, including revenue reconciliations with the Development Department, bank reconciliations and periodic general ledger and journal entries.
Develop recommendations for the Executive Director, the Board and related Committees in all matters pertaining to the overall financial and staff resources associated with current and potential programs and activities.
Update and implement all necessary business policies, accounting practices, and internal controls to seek continuous improvement and achieve and maintain government and regulatory compliance.
Budgeting & Reporting:
Oversee and lead annual budgeting and planning process in conjunction with ED and Executive Team; administer and review all financial plans and budgets; monitor progress and changes and keep the Executive Team abreast of organization’s financial status.
Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements.
Coordinate and lead the annual audit process, liaise with external auditors and the Finance Committee.
Track and report on grant expenses and related details.
Work with the Development team and area offices to provide budgets, financial statements, and other information in support of SMART’s fundraising goals.
The DFA supports other departments and area offices with financial and grant reporting, budget management, and lease procurement.
Administration & Operations:
Manage payroll and employee reimbursements
Work with the Director of People and Culture to review compensation on an annual basis and produce the annual compensation budget for SMART Reading Staff.
Maintain the organization's leases for the main office, book bank and area offices
Oversee Risk Management of the organization and maintain and review SMART Reading’s insurance policies
Assist in employee benefits administration, manage relationships with benefit brokers, coordinate annual Open Enrollment, and address employee benefits questions; propose additional benefit options pertinent to the organization’s workforce in partnership with the Director of People and Culture
SMART Reading is possible because more than 5,000 volunteers contribute their time, energy and experience to helping us carry out our mission; that means volunteers account for nearly 100 percent of the people working on the ground to deliver SMART Reading’s proven literacy support and book program. Because of this, all SMART Reading employees work and interact with volunteers in varying capacities.

Because volunteers are donating their time and talents to SMART Reading, employees may need to be flexible and solution-oriented when it comes to expectations around deadlines, communication, ability to attend meetings, etc.

KNOWLEDGE AND SKILLS:
Very strong financial analysis capabilities; along with ability to translate financial concepts to, and effectively collaborate with, programmatic and development colleagues who do not necessarily have finance backgrounds.
Successful track record in setting priorities; keen analytic, organization and problem-solving skills that support and enable sound decision-making.
Excellent communication and relationship-building skills, with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.
Ability to think strategically about the big picture while staying grounded in day-to-day realities and priorities
Personal qualities of integrity, credibility and being highly organized.
Advanced Excel skills are essential; knowledge of NetSuite, ADP and Concur software a plus.

EDUCATION AND WORK EXPERIENCE:
Relevant four-year degree or equivalent experience in Accounting/Business; MBA or CPA preferred.
At least 5-7 years of professional experience, ideally with broad financial and operations management (audit, budgeting, internal controls, financial reporting, grant reporting, payroll, risk management, legal compliance.)
Experience in not-for-profit accounting preferred.
