
Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher) in Accounting, Finance or related field. Three (3) years of full-time progressively responsible financial accounting and payroll processing experience including reconciliations, financial analysis, and financial statement preparation. Budget management experience. Knowledge of generally accepted accounting principles, fund accounting and/or tax laws. Proficiency with Microsoft Excel and Word. Data analysis experience.
Preferred Qualifications:
Advanced degree in Accounting or Certified Public Accountant License (CPA). Additional years' (4+) experience with full time progressively responsible financial accounting and payroll processing experience. Previous experience managing, training or leading teams. Experience working in a large organization, higher education and/or not-for-profit organization. Knowledge and use of analytic tools including PeopleSoft, Microsoft Access, Crystal Reports, query tools, Raiser's Edge fund-raising software, PeopleSoft Finance module.
Brief Description of Duties:
The Assistant Director of Accounting and Finance will assist the Director in overseeing the functions of the Stony Brook Foundation staff accountants in all phases of corporate accounting and finance, including but not limited to, financial reporting, preparing for audit and tax filings, and enforcing all accounting policies and procedures to ensure compliance with current laws, SUNY guidelines and general accepted accounting principles.
The Assistant Director will also assist in the preparation, development and tracking of an all-funds budget for University Advancement and ensure that all department financial operations are in accordance with University procedures and controls. The incumbent will have experience working with, and maintaining, confidential information. They will also have experience effectively multi-tasking with a high degree of accuracy, organization and professional communication.
- Stony Brook Foundation Budget and Accounting:
- Long-range forecasting and strategic financial planning.
- Assist in preparation of forecasts and year-end projections and process allocation and expenditure transfers.
- Preparing and reviewing budget and fiscal data.
- Performing general accounting functions, reconciliation of general ledger transactions and financial analysis.
- Ensuring monthly account reconciliations and expenditure reports, ensuring all supporting documentation is filed and costs are accurately recorded to appropriate accounts.
- Overseeing general ledger and cash flow, or payroll and contract service reports.
- Preparing internal and external audit financial statements and 990's and related state corporate tax filings for SBF, SBFR and Trust and Agency Accounts. SBF corporate financial reporting and preparation of SBF annual audited financial statements.
- Evaluate the accounting/tax functions in order to improve SBF procedures.
- Develop efficiencies within the department in order to expedite and streamline processes.
- Maintain continuing education regarding new financial reporting and tax laws.
- Negotiate, manage and oversee department contracts as the financial liaison with the departments of Accounting, Budget, Procurement, and Stony Brook Foundation.
- Assure assigned day-to-day operations are carried out in accordance with established accounting principles, policies, and objectives.
- Advancement Budget Operations:
- Manage all allocation and expenditures (for State, IFR, RF, and SBF accounts).
- Establish, manage and maintain financial reporting systems for the department.
- Work with University Budget Office, SBF Business Office and RF Business Office to develop and manage an all funds budget, e.g., State, SUTRA, Research IDC, IFR, Hospital, and SBF accounts.
- Work with Advancement's VP to prepare the annual division budget, individual departmental budgets, mid-year condition report, final condition report, identify state rollovers and campaign budget.
- Review and reconcile SBF, State and IDC financial plans, conduct analysis, follow-up and update as appropriate.
- Create user-friendly reports on an as needed basis using available financial databases, e.g., SUNY BI, SBU Reporting and PeopleSoft.
- Other duties as assigned.
