The Executive Administrative Aide provides high-level administrative support to the Senior - Vice Chancellor of Finance and Administration, by conducting research, preparing reports, handling information requests and ensuring the efficient operations of the office.
DUTIES AND RESPONSIBILITIES:
Coordination and management of multiple multi-organizational committees - HSC Advisory Board; UT Le Bonheur Pediatric Specialists (ULPS) Board of Directors, Finance and Audit, Executive and Retirement committees; University Clinical Health (UCH) as well as multiple University system and UTHSC campus committees.
Serves as the administrative liaison between outside consulting firms and UTHSC faculty, staff and/or students as it relates to the scope of work for the contracted services.
Attends meetings, prepares minutes or meeting notes and tracks meeting action items.
Manages active calendar by planning, coordinating and establishing daily priorities, including approving meetings with individuals on key strategic priorities of the University.
Arranges complex and detailed travel for the Senior Vice Chancellor; prepares itineraries and submits timely expense reports manner.
Researches, prioritizes and follows up on special projects, incoming issues and concerns including those of a sensitive or confidential nature.
Serves as departmental Human Resources Liaison; creates new or posts existing positions in IRIS, monitors and updates employment process through TALEO and/or Office of Equity and Diversity.
Reviews and approves processed transactions as designated department procurement card holder.
Participates in various committees and professional organizations.
Oversees the planning and coordination of key special events for the office principal.
May negotiate and administer contracts and/or agreements.
Oversees and coordinates the day-to-day activities of the office administrative support staff, to include management and training, scheduling and prioritizing work assignments, and implementation of effective operating policies, procedures, and systems.
