This position is responsible for performing most of the financially related tasks for the HGSE Admissions team and supporting the office's CRM maintenance. In addition to these two core focuses, this role provides a high level of customer service to both external (e.g., prospective students, applicants, admitted students) and internal (e.g., admissions committees, Finance Office, Harvard International Office) constituents.
Responsible for office's financial operations
Working closely with the Director of Admissions, develops and manages the office's non-personnel budget and manages all financial reconciliations
Monitors current spending and forecasts future spending for entire non-personnel budget as well as for Graduate Assistant budget.
Handles a wide range of financial transactions (e.g., invoices, staff travel reimbursements, application fees, enrollment deposits, journals, deferred revenue, portal/enrollment deposits on term bills, admitted student travel reimbursements)
Oversees entire PCI Compliance process, including but not limited to managing monthly scans ensuring security of confidential data and records.
Responsible for interfacing with payment management system including implementing new payment management systems when necessary ·
Responsible for maintaining core functions of office's CRM and application system
Working closely with the Associate Director, maintains Technolutions Slate CRM, including all online applications, rules and queries, portals, decision release, and security
Co-manages the cycle preparation process, i.e. application updating and launch o Leads updating of decision letters and decision testing o Builds queries and pulls data from Slate and responds to basic data requests as needed
Develops and implements process and forms to guide admitted international students through financial certification (i.e. visa) process
Processes financial certification materials for admitted international students
Represents HGSE at select events both on- and off-campus as needed
Assists with updating and maintenance of HGSE Admissions webpages
Performs related duties as required

3+ years of related experience.
Ability to work overtime during peak periods required.

Bachelor's degree preferred.
Experience with Slate CRM and previous financial experience strongly preferred.
Ease with new and emerging technologies.
Ability to manage (or learn to manage) budgets and other financial management activities.
Ability to work independently with minimal supervision, as well as part of a team, in a multifaceted, fast-paced environment.
Proven project and/or program management skills.
Strong organizational skills and attention to detail, with ability to prioritize work required.
Experience with databases and a variety of software (Microsoft Office Suite); ability to learn new software applications and systems quickly.
Experience providing a high-level of customer service, as well as handling complex and confidential information with discretion.
Strong interpersonal and communication skills to interact with multiple external and internal constituencies.
A working knowledge of Harvard financial systems preferred
