ACCOUNTABLE TO: Head of School, Board of Directors of Rosarian Academy
DEFINITION OF ROLES: The Director of Finance is responsible for the efficient operation of the Business Office and for the accurate keeping of all financial reports of Rosarian Academy. He/she coordinates the total budget, ensures that correct accounting principles are followed, coordinates employee benefits, and presents the finances of the Academy to the Adrian Dominican Congregation, the boards of Rosarian Academy, and to the parents.
OBJECTIVES:
- Supports and promotes Rosarian Academy philosophy of education and the mission statement.
- Shares responsibility for the formation of the faith community at Rosarian Academy.
- Oversees all financial transactions of the Academy.
- Responsible for an efficient operation of the Business Office.
- Ensures that correct accounting principles are followed and policies are adhered to.
- Coordinates employee benefits.
- Works with the auditing firm.
- Serves as trustee and secretary to the Charitable Trust.
RESPONSIBILITIES:
Business Office
- Oversees all financial transactions in relation to Rosarian Academy.
- Pre-approves all transactions made in relation to financial affairs in order to monitor the budget efficiently.
- Delegates various duties to the bookkeeper as necessary.
Marketing
- Meets with Head of School/Finance Committee to plan annual budget.
- Collects data from prior years actual revenue and expenditures to form a guideline for budget preparation.
- Reviews budgets from various departments for annual budget input.
- Plans revenue based upon data received from Head of School, Finance Committee, and other administrators.
- Organizes annual budget to be submitted to Head of School and board for approval.
Financial Reporting
- Oversees all month and year end transactions (journal entries).
- Responsible for submitting a monthly financial statement to Head of School and board.
- Gives a report of monies raised in fundraising activities on a regular basis to the Development Director and Head of School.
- Gives an account of monies raised by various department chairpersons and administrators.
Record Revenue
- Records and deposits all monies received on a regular basis.
- Monitors revenue received in relation to annual budget projections.
Investments
- Monitors investments on a monthly basis. Records income received and submits to bookkeeper for computer entry.
- Keeps Head of School aware of investment activity on regular basis.
- Monitors cash flow and makes Head of School aware when investments need to be withdrawn.
Monitor Expenditures
- Issues purchase orders to various department chairpersons.
- Proofs purchase orders to see if they are properly completed.
- Authorizes purchases that do not exceed departmental budget and that do not exceed $5,000.00.
- Oversees the processing of accounts payable. Approve check requests and purchase orders before payment is made.
- Signs accounts payable checks that do not exceed $5,000.00.
Student Billing
- Receives contracts from Admissions Office for processing of student billing.
- Verifies that appropriate payments accompany contracts.
- Oversees the bookkeeper’s input of student billing information and fees into digital databases.
- Receives, processes, and monitors all special payment arrangements which have been approved by the Director.
- Records and processes all financial assistance or scholarships awarded to students.
- Keeps Head of School abreast of delinquent accounts.
Employee Benefits
- Assists in informing new employees of benefit packages when initially employed.
- Collects appropriate information from employees to implement benefits.
- Enrolls and terminates health insurance coverage for each employee.
- Monitors the billing received from health insurance carrier to see that every employee is correctly covered.
- Administers all pension forms, i.e., Trust Document, individual policies for employees, year-end data to pension company.
- Enrolls employees in credit union plan if so opted.
- Oversees the processing of employee payroll deductions in relation to benefits.
Payroll
- Receives employee contracts from Head of School.
- Receives appropriate information from employees for processing payroll.
- Oversees bookkeeper’s input and processing of all payroll activity.
- Processes employment verification forms.
Annual Financial Audit
- Prepares and oversees the preparation of all schedules for auditors.
- Works extensively with annual auditing firm to perform detailed and thorough audits each year.
- Reviews final financial statements received from auditing before final submission to Head of School.
Charitable Trust
- Prepares all financial reporting to Charitable Trust.
- Serves as Trustee on Charitable Trust Board.
- Prepares minutes from Charitable Trust Board meetings for chairperson’s review and Board’s approval.
- Transfers interest and dividends earned in Charitable Trust to Rosarian Academy’s operating fund each quarter.
- Works with auditing firm each year to perform thorough audits.
- Reviews final financial statement before submission to Head of School.
- Reviews Internal Revenue Service Report 990 received from auditors and mails it to the Internal Revenue Service.
The Director of Finance shall perform such other duties as may properly be assigned by the Head of School and will be alert to the new and developing opportunities to present Rosarian Academy to its various publics.

QUALIFICATIONS:
- Hold a Bachelor Degree or higher in finance, accounting, or relative field of study. Advanced degree preferred.
- Minimum five years demonstrated progressive success in business, finance, administration, or operations management.
- Prior successful experience in independent school business administration desired.
- Experience with computerized accounting systems, spreadsheets, databases, word processing and emerging technology and information services.
- Completion of VIRTUS Training
- Ability to communicate effectively and positively with parents, students, administration, and a variety of people and personality styles.
