This rapid transition has included significant growth in enrollment, faculty and facilities, as well as in the number, size and complexity of sponsored research grants. This position is critical to support its current and future research growth. Research Finance manages the post award financial life cycle of an award, establishes new grants and analyzes and processes financial data within the Banner general ledger with a focus on compliance.
This position will support the functions of the Research Finance office under the NU-Research Enterprise Services for sponsored activities by making sure that the university is in compliance with applicable federal regulations, sponsor requirements and university policies with a focus on fiscal compliance. Reporting to the Associate Director, Research Finance, the Research Finance Coordinator (RFC) will assist in managing the overall business operations of the research finance team and be responsible for broad level review and maintenance of multiple communication streams.
Responsibilities include: Manage the research finance monthly calendar and communicate deadlines on a monthly basis to the team. Monitor and triage the various research finance email accounts and log issues into the appropriate trackers. Send issues to responsible party for resolution and follow up until task has been completed. Review and approve requisitions for compliance and allowability under appropriate sponsor terms and conditions. Under the direction of the ADRF, prepare and send out notifications to research community such as deficits, cost share, close out and final invoice/report notices to department administrators. RFS will prepare reports and JVs and complete initial financial analysis as needed. Provide assistance during audits, both internal and external, by obtaining supporting documentation for review by ADRF prior to submission to auditors. Prepare financial reports after monthly financial close to leadership team. Assist the NU-RES Finance leadership team with various projects as needed.
The candidate is expected to work in various electronic platforms and systems and must be technically savvy. Must be able to VPN and work completely electronically. The candidate must be able to navigate through the financial system (Banner) as well as the various grants systems and portals (COES, eCLAWS, many Federal Portals, Sharepoint, TEAMS, etc.) as required to perform their job.
The position is expected to foster consultative relationships as well as support a professional environment, providing award support and training when needed. The RFC works with the Associate Director and Director with regard to fiscal compliance of sponsored award expenditures, AR monitoring and financial reporting at Northeastern. The ability to create and maintain a culture of service, accountability and timeliness is essential. As a collaborative team member, the candidate will support the other members of NU-RES, interface with colleagues across organizational units such as, NU-RES Research Administration, Accounts Payable, Office of General Counsel, the Procurement Office, and Research Compliance, and perform other duties as assigned.
A key success factor for this role is being current with respect to federal regulations as well as the ability to train others on the application of these regulations. This role must treat effective compliance as an equal priority, stay abreast of sponsor rules, regulations and policy changes, as well as institutional best practices in research administration and finance. Participate in sponsored research initiatives and projects as assigned, as well as leading the adoption of best practices to promote continuous improvement making sure that the highest quality standards are met.
Qualifications: BS/BA or is required
Strong technical skills with excel, word, Adobe, TEAMS, outlook and other analytical tools.
1-2 years work experience required
Must be able to work effectively in a team oriented environment
Excellent analytical, problem solving skills with a high attention to detail
Excellent written and interpersonal communication skills with the ability to interact with both senior and management
Proven customer service skills
Basic accounting skills
Experience working with the Federal agencies/departments in particular NSF, HHS, ONR, NASA, DOE, DHS and the Commonwealth of MA is recommended
Job Duties:
Prepare and distribute reports and trackers for basic operations of the team such as the calendar, monthly AR tracker and log, and analyst portfolio logs. Send invoices to sponsors on standard templates and respond to sponsors when appropriate. Pull supporting documents as needed to support costs. Prepare files for review by AD and distribute communication to colleges for award managements such as deficits, close outs, cost share and FFR/Invoice notifications. Work in excel to prep financial reviews by the team. 60%
Monitor and triage various Research Finance email accounts. Send out issues to responsible party and follow up through to resolution. Enter issues into the tracking log and escalate when necessary. Must be able to navigate through various systems to trouble shoot issues and pull documents and records to assist in analysis and review. 20%
Review, approve and monitor procurement requisitions, Dpays, expense reimbursements, cost transfers and other award expenditure transactions as required. Prepare preliminary financial analysis to the team for distribution and further analysis. Prepare JVs for upload as needed. Assist ADs with maintaining data integrity of Banner system and complete data entry as needed. 15%
Support management with ad hoc assignments as needed. 5%
