Now, our Finance & Operations team is looking for an Associate who will ensure organizational effectiveness and efficiency by providing leadership and management of financial and facilities operations and processes.
DARAdvancement Resources: Finance, Administration, Operations and Talent Management
The Advancement Resources team covers a number of areas that "keep the trains running" in the busy division of 235 people. Covering all budget and finance areas, as well as operations like space and facilities, the team also includes colleagues in strategic talent management (STM) who work with all DAR staff across 17 schools and colleges. The Finance & Administration team interfaces with the STM team in areas like compensation, data analysis and benchmarking. This eight person team is highly collaborative and enjoys working with a diverse set of colleagues and University partners, providing excellent customer service and helping colleagues achieve their fundraising goals.
Finance & Operations Associate
As a member of a large Development & Alumni Relations team, the Associate reports to the Director, Administration & Finance to ensure organizational effectiveness and efficiency by providing leadership and management of financial and facilities operations and processes. Working with the Director of Finance & Administration, this position also contributes to the development, implementation and compliance of organizational strategies, policies and practices in adherence to University policies, systems and procedures.
Financial Reporting and Planning
Manages monthly and ad hoc financial reporting to department heads and budget managers for over 50 DAR operational budgets to ensure unit compliance with University budget guidelines, policies, and University budget reporting processes.
Assists Director with the University's budget processes. Includes the preparation of quarterly financial reporting to the Budget Office, as well as other budget submissions and projects as assigned.
Monitor and maintain central DAR reserve budget monthly by fiscal year, including tracking compensation and working with the Strategic Talent Management (STM) team on compensation benchmarking
Works with Director of STM and department head to manage & maintain executive search firm contracts and other recruiting technology contracts (LinkedIn, other applications) and serves as liaison to ensure good business practices and resolve disputes and discrepancies in service
Oversee and input through BU Works all hourly/weekly payroll for DAR which includes all L2324, all Terrier Temps, all student workers and all casuals and consultants, adhering to weekly payroll deadlines. Serve as liaison to (department) to ensure DAR staff are paid.
Work with Director of Finance & Administration to ensure that monthly payroll, (including over base payments, promotions, FMLA's, and terminations are all submitted by monthly deadline.
Partners with the STM team and Finance & Operations Associate to manage the Temp/Casual/Student employee payroll for the Office of Development & Alumni Relations, managing the payroll for students, temps and casuals in coordination with DAR the STM team, managers, temporary placement agencies (Terrier Temps) and the Office of Student Employment. Manage Administrative Coordinator in working with temp/casual/student payroll activities.
Assist DAR staff with Sourcing policies and procedures. Develop and maintain good working relationships with key partners in both Sourcing and Accounts Payable to ensure DAR purchasing goals are met.
Provide support to Director Finance & Administration in onboarding and training new staff on policies, procedures and protocols
Operations & Organizational Management
Partners with the STM team to de-acquisition (off boarding) employees ensuring all university policies are adhered to (email accounts, iPhones, iPads, laptops, ID's, office keys and credit cards are all returned) including maintaining records to capture data Maintain staff iPhone/iPad inventory. Assist with annual IT inventory strategy/planning.
In partnership with Director Finance & Administration, advise and train staff, students, temporary workers in operational procedures and protocols as needed
Work with Director of Finance & Administration and Data Applications team to determine office equipment needs and oversee selection and procurement for staff
In support of Director of Finance, oversee and manage facilities operations for the 7th floor, 595 Commonwealth Avenue, including liaison with building facilities team for routine maintenance, Emergency Management and oversight of Finance & Operation Associate's frontline role
Manage security system (key cards) and keys for 7th floor, including assisting the STM team and staff in managing key distribution and trouble shooting.

Bachelor's degree or equivalent combination of education and experience.
Three to five years of successful, direct experience in advancement operations in a university setting or other financial/operations business or nonprofit environment, ideally in the finance/accounting and operational responsibilities. Strong data analysis skills and impeccable attention to detail.
Demonstrated ability to relate well to and understand the needs and interests of a diverse group of staff in a fast-moving environment as well as a solid understanding and ability to develop a partnership with finance and HR teams.
Ability to initiate, follow-through, analyze, monitor, and evaluate a diverse set of activities on the HR and finance/operations front. Willingness to work in a challenging environment and meet short deadlines and shifting priorities.
Ability to maintain confidential information and use sound judgement and discretion at all times
Expected to be self-motivated and extremely organized, including strong project management skills. Also expected to work in both an independent and congenial manner with staff, students, University officers and outside vendors and consultants.
Must be highly proficient in financial and human capital software, operations and procedures, including University wide systems and applications (SAP).
