SUPERVISES: Coordinator for Administrative Support
LOCATION: Chicago, Illinois
The American Association of Law Libraries is looking for a Director of Finance and Administration. This position oversees the Finance and Human Resources functions of the association. Working closely with the Executive Director, this position’s responsibilities include directing and managing finances, operations, human resources and administration to support the association’s strategic goals. The Director of Finance and Administration oversees day to day office administration needs. This position also supervises the Coordinator for Administrative Support.
Please note the salary range for this position is $80,000 to $95,000 annually.
DUTIES AND RESPONSIBILITIES
Financial & Systems Administration
Prepares monthly financial reports, bank reconciliations and investment reports for Executive Director and Board’s review.
Analyzes and presents financial reports in an accurate and timely manner; clearly communicates monthly, quarterly and annual financial statements; collates financial reporting materials for all the Association’s segments, and oversees all financial, project/program accounting.
Oversees and leads annual budgeting and planning process in conjunction with the Executive Director; administers and reviews all financial plans and budgets; monitors progress and changes; and keeps the Executive Director and Executive Board abreast of the organization’s financial status.
Ensures the adequacy of accounting practices and policies, the handling of funds, internal controls, and reporting standards.
Updates and implements all necessary business policies and accounting practices; improves the finance department’s overall policy and procedure.
Works with the Executive Director, Staff, Finance and Budget Committee and Executive Board to prepare the association’s Annual Budget Guidelines and Annual Budget.
Coordinates and oversees the annual audit, including preparation of various supporting schedules and supporting data as required by the outside auditors.
Directs the Accounts Receivable, Accounts Payable, and General Ledger activities.
Sends quarterly reports to Special Interest Sections’ (SISs) for their accounts and for Endowed Investment Accounts.
Manages organizational cash flow and forecasting.
Effectively communicates and presents critical financial matters to the Executive Director and to the Finance and Budget Committee.
Human Resources and Administration
Administers the Association's compensation program as approved by the Executive Director, advises in the area of wage, salary, and benefits administration, and proposes recommendations regarding trends and compliance.
Administers employees’ payroll and benefits programs including group insurance, retirement plan, and transit program.
Prepares information reports to staff regarding benefits, sick leave and vacation accruals.
Maintains personnel files as required by law.
Further develops the Association’s human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting, as approved by the Executive Director.
Evaluates and maintains adequate insurance coverage to meet the changing needs of the organization. Ensures that policies are timely renewed or replaced and manages the relationship with the insurance carriers and agents.
Responsible for leases, purchase, and maintenance of office equipment.
Performing other duties as assigned.
Serves as Staff liaison to AALL committees and juries.
Works with AALL Staff on their programs’ budgets and provide information as needed and requested.
Supervises the Coordinator for Administrative Support.
Bachelor's degree or higher in Accounting or Business, CPA preferred.
Solid knowledge of non-profit, professional organizations.
At least seven to 10 years of overall professional experience; ideally six-plus years of broad financial and operations management experience.
High level of proficiency in accounting and reporting software, including Financial Edge, Microsoft Office (Outlook, Excel, Word).
Possess the ability to be creative and innovative, meet deadlines, set priorities, work independently, and demonstrate a high degree of attention to detail.
A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making.
Excellent communication, presentation and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.
Strong knowledge of general Human Resource and Finance functions such as group health benefits, expense processes, processing new hires and terminations
