Cornell Cooperative Extension of Wyoming County has two full-time Finance Assistant positions available based from the Warsaw, NY office.
Responsibilities include supporting standard operating procedures and compliance with regard to budget creation and monitoring; general ledger adjustments and maintenance, association financial reporting; A/P vouchering and check payments; implementing customized vouchers; A/R invoice creation; deposits; effort tracking Worksheet; FORM code policy and procedure; Assist with delivery of training to Association staff in appropriate FORM Code policy and procedure as needed to ensure consistent finance administration throughout the Western Region Shared Business Network (WSBN).
Position will be based out of Wyoming County but requires travel within the Western Region Shared Business Network (WSBN) region which includes Allegany, Cattaraugus, Chautauqua, Erie, Genesee, Monroe, Niagara, Orleans and Wyoming counties.
* Associate's Degree in business, accounting, finance or similar area and 2 years of experience in a financial, bookkeeping or accounting position or equivalent combination of experience and education. * Ability to meet travel requirements associated with this position. * Ability to work flexible hours which may include evenings and/or weekends, as appropriate. * Ability to clearly communicate (speak, read and write proficiently) in English. * Ability and willingness to work with diverse audiences and maintain cultural sensitivity. * High level proficiency with Microsoft Office Suite (including but not limited to Outlook, Word and Excel), computer finance programs, as well as computer networking experience. * Demonstrated experience in budget preparation and management, accounts receivable/payable tracking, expense/revenue tracking, cash flow tracking, reconciliation, reporting, compliance, and grants/contracts management. * Demonstrated ability to communicate effectively, clearly, and tactfully through verbal, written and electronic methods. * Ability and willingness to work with a high degree of integrity, accuracy, organization, sound professional judgment, and the ability to handle confidential, sensitive information. * Demonstrated ability to organize, manage and prioritize multiple tasks, deadlines, requirements, and priorities to complete work in a timely manner and within established deadlines. * Ability and willingness to work as part of a team with finance staff, Cornell University, and Association staff. * Ability and willingness to assist with providing finance related training to staff in CCE county offices. * Ability to follow and interpret instructions furnished in written, oral, diagram or schedule form and assume responsibility with general guidelines and direction. * Ability to read, analyze and interpret technical procedures, or government regulations. * Ability to solve problems and deal with a variety of variables in situations where only limited standardization. * Ability to work in a typical office environment which may include lifting, moving, and/or transporting office supplies, work related materials, and equipment with or without accommodation. * Bachelor's Degree in business, accounting, or finance and at least 2 years of experience in a financial, bookkeeping, or accounting position. * Experience with sophisticated financial software and web interfaces (i.e.: ACCPAC, Kuali, FIDO, Workday, etc.) and non-profit accounting. Ability and willingness to use learn and effectively use new technologies and systems. * Knowledge of FASB (Financial Accounting Standards Board) and GAAP (Generally Accepted Accounting Principles) Standards. * Experience preparing complex budgets.
Administrative Management - 5% Service Component * Under WSBN Lead Finance Manager guidance monitor association budgets through use of system-wide accounting software.
Administrative Coordination/Operation - 90% * Prepare and submit expense reports, vouchers, and mileage reports in a timely manner per established policy and procedures. * Maintain extreme confidentiality of all information and data collected. * Provide data and information to assist with preparation of reports, impact statements, and success stories for funders, advisory committees, Board and others as requested. * This position requires the transport of self and materials/resources in performing position responsibilities.
Service Component Under WSBN Lead Finance Manager guidance: * Perform general ledger adjustments and maintenance. * Prepare association financial reports. * Process and prepare budget under guidance of Executive Directors * Assist with required reporting to CCE Administration, including year-end. * Attend association Board & Finance Committee meetings as appropriate.
Support Component * Assist WSBN Lead Finance Manager with ensuring standard operating procedures and compliance in area(s) of: * Association budget creation and monitoring * General ledger maintenance * Association financial reporting * A/P vouchering and check payments, and implementing customized vouchers * A/R invoice creation, A/R Cash Receipts * Assist with required reporting to CCE Administration, including year-end. * Maintain regular contact with Association staff. * Assist WSBN Lead Finance Manager with delivery of training and support to Association finance/clerical staff as needed (approximately of 3 - 4 times per year) * Assist WSBN Lead Finance Manager with delivery of training for standard operating procedures implementation, as identified. * Assist with standardization of county Association generated financial reports. * Participate in WSBN conference calls, meetings, and trainings as appropriate.
Professional Improvement and Other Duties as Assigned - 5%
* In cooperation with the Supervisor, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes in programming and association priorities. * Participate in all required orientation, training, and/or in-service meetings and trainings as scheduled/required. * Pursue personal growth through expanding personal knowledge of the total organization and through updating techniques and technical skills relating to the position. * Carry out assignments and other duties as assigned by supervisor, including but not limited to local fairs, community activities, etc. * Collaborate in activities that are in general support of Cornell Cooperative Extension including but not limited to attendance at staff meetings, timely reporting of expenses, working with other staff, general marketing of Cooperative Extension programs and other duties as assigned. * Maintain regular and predictable attendance and punctuality.
