The Finance & Administrative Manageroversees the financial and administrative operations for the Advanced Imaging Research Center, https://www.ohsu.edu/advanced-imaging-research-center/ . This research center reports to the EVP for Research & Innovation and specializes in generating novel Magnetic Resonance techniques/technologies for the advancement of biomedical research. This position will be responsible for communications with high level internal and external personnel and must operate with great accuracy and efficiency.
The FAM supports the Center Director in providing fiscal leadership through budgeting, planning, strategy, analysis, reporting and oversight of financial activities. Under the supervision of the Center Director, the manager interacts with research leadership, administration, and service center customers, supports pre-award application development and management, provides post-award grant management, oversees departmental personnel activities, and provides general administrative support for faculty, staff, students, and customers. Additionally, this position will provide general administrative support, including but not limited to, coordinating all aspects of travel, meeting coordination, and calendar management. The position works collaboratively with center faculty and staff, various constituents at OHSU, including the SVPRs Office, Central Financial Services, OHSU Foundation, and outside institutions as needed. The FAM estimates fiscal impacts of new and existing initiatives using appropriate data and provides recommendations to achieve sustainable operational models. The position represents the Center on various OHSU groups and task forces.
Financial activities: Comprehensive understanding of financial analysis for the Advanced Imaging Research Center (AIRC), Service Center operations, including monthly billing and reconciliations, budget development, effort analysis and reporting, space and inventory management, purchasing, scheduling, internal and external communications. Financial analysis and budget development include, but are not limited to, complex financial projections, strategic planning, cost, fund, and grant accounting.
Administrative Activities: Coordinates administrative process of the Center including managing resource scheduling (iLab), maintaining Directors calendar, coordinating meetings and conferences, travel arrangements; analyzes data and uses judgment in making independent decisions regarding the coordination of the program; provides assistance in a manner that is affirming and productive in support of the overall vision & goals; responsible for promoting a clear customer service orientation throughout the center; provides recruitment support for all postdoctoral candidates acting as liaison between international affairs office and any potential recruits.
Work closely with Principal Investigators and OPAM to assist in grant management and reporting (post-award). Provide monthly reports to Principal Investigators in the center. Process labor distributions and adjustments, sub-contract and sub-award requests, budget adjustments, extension requests, progress reports, and effort certifications.
Interact efficiently and effectively with the Office of the Senior Vice President for Research and Corporate Financial Services to complete tasks, analyze complex financial data and develop and execute appropriate financial models.
Work closely with external groups and Technology Transfer and Business Development to assist in drafting, editing, and routing technology agreements.
Prepare and route employment transactions as needed, participate in annual employee review process, and manage timesheets and leave reporting and assist employees in understanding benefit choices. Help strategize, consult and provide financial data to director in regard to HR decisions such as annual budget expenditures, faculty/staff renewals and FTE changes, pay equality analyses, promotions/raises, and other complex and sensitive HR decisions. Work with director to ensure that AIRC faculty/staffs effort and support are well-matched. Assist in leadership for service center and administrative managerial decisions.
A minimum of 5 years demonstrated experience in finance, operations, and personnel management in a complex environment, including prior grant management
Excellent working knowledge of Microsoft Office and business software
Ability to work effectively, both independently and as a collaborative team member, with great accuracy and efficiency

Physical demands & equipment usage: Occasional moderate physical effort.
