Job Description Summary: General Statement of Duties:Responsibilities for this position include all accounts payable operations and supervision of two AP staff members. This position manages financial disbursements including invoices, expense reports, check runs, ACH and wire payments. This position is responsible for the Concur system administration and various tax processes including 1099 tax reporting, entertainment taxes, and tuition remission tax processes. This position assists with month end processing, fiscal year end closing and audit assistance. Responsibilities include interfacing with departments, students, professionals, administrative and executive staff within the University. This manager also assists the Assistant Controller with financial accounting, analysis and reporting as needed.Reports to the Assistant Controller.
Minimum Qualifications Bachelors degree A minimum of 3-4 years of relevant experience. - Knowledge of practices and procedures used in financial management, especially accounts payable. Knowledge of accounting principles as related to prepaid and accrued expenses. High degree of attention to detail, accuracy and the ability to handle a high-volume of work efficiently Excellent time-management and communication skills Flexibility and an active desire to learn Ability to work with minimal supervision and demonstrate initiative when and where appropriate Ability to provide excellent customer service through timely responses to both internal personnel and external vendors Understanding of procurement and accounts payable processes
Preferred Qualifications CPA preferred Proficient in Microsoft Office, specifically Excel and Word. Concur experience a plus.
Essential Duties - Leads Accounts Payable Department: Manages Concur system administration including users and approval workflows. Invoice review, matching and check run processes in compliance with University policies and payment terms. Verifies check payments are supported by appropriate invoices or receipts. Provides guidance and technical support to University faculty, staff and students with accounts payable related issues. Reviews outstanding check list, researches payments outstanding over 90 days and completes paperwork to void or reissue checks. Audits and reviews invoices, check requests and expense reports for appropriate documentation and approval prior to payment. Maintains the list of individuals throughout the university that have the authority to sign University payment authorizations. Leads the conversion of the accounts payable department through accounts payable software upgrades including checks and ACH processing and purchasing model. Coordinates and plans the accounts payable staff workflow, ensuring that semi-weekly accounts payable cycle processing and check distribution are met. Oversees accounts payable disbursement procedure in accordance with university policies and guidelines and recommends changes in financial policies and procedure as necessary. Monitors established internal controls to assure proper compliance. Manages tuition remission taxable benefit calculations. Reconciles the student refund file detail prior to submission to Bank Mobile. Communicates and resolves discrepancies with the student refund file, initiates wire transfer to Bank Mobile and provides notification when the process is complete. Coordinates and monitors the 1099 reporting function of the University and the year end distribution of 1099 forms to the University vendors. Assists with month end and fiscal year end close processes. Assists with fiscal year end audit. Maintains list of University signatory authorization for all banking and investment accounts. Assists the Assistant Controller with financial analysis and reporting as needed and backup all Finance team leaders. Performs miscellaneous projects/duties as needed.
