The Ramaz School seeks a Finance Assistant to join its Business Office to report to Chief Financial Officer.
Background: The Ramaz School is a leading Manhattan independent school, located on the Upper East Side, with over 1,000 students N-12, serving the NY and tri-state area Jewish Community. It operates from three main sites (ECC/Lower School, Middle School, and Upper School), with over 300 employees.
Position Summary: Provide support to the finance and human resource functions of Ramaz in administration and analysis as follows:
Assist in the preparation and scheduling of internal and external meetings for the Chief Financial Officer including annual budget, audit and finance committee meetings
Assist families applying for tuition assistance and coordinate with Tuition Assistance Committee
Assist with Human Resource activities detailed below
Assist in survey requests as needed
Provide assistance to the Chief Financial Officer:
Monthly Charter Trustee meeting
Maintain out of office tracking for the Business Office
Finance and Accounting
Assists in the annual budget process
Provide assistance with internal meetings, finance, audit and charter trustee meetings
Input data for surveys and grant applications
Assist with follow up with parents who did not sign their annual student contracts
STEM grant for the state of New York
Assist in the preparation and submission of the annual MST Grant:
Coordinate with divisions to determine which teachers are eligible for reimbursement and gather official documentation of certification/degree
Gather master schedules and individual teacher schedules and ensure that all periods and duties cross-reference
Gather course descriptions for each eligible course
Complete the reimbursement form for each teacher and gather necessary signatures
Assist in the tuition assistance process
Guide parents on how to complete the paperwork and submit the required documentation including using the FACTS system to upload required tax documentation
Ensure all tuition assistance applications are complete before forwarding them to the tuition assistance committee. Follow up with applicants about missing or incomplete application information data
Serve as contact point for parents with questions and appeals
Act as liaison with the Tuition Assistance Committee
Schedule the Tuition Assistance Committee meetings
Keep track of status of applications to ensure all are reviewed on a timely basis
Input financial award into the FACTS system
Prepare letters requested for employment verifications (i.e., for employees, mortgage lenders, NYS Board of Ed, Medicare) and send to Director of HR for review. Upon obtaining approval from Director of HR, forward to vendor
Work with the Director of Human Resources on the FJE registration process
Assist in returning messages from individuals asking how to apply for open positions at Ramaz
Redirect benefit and HR policy questions to a Human Resources Coordinator
