The Administrative Specialist provides support for the Department of Finance and Economics. This position supports the department head, as well as faculty, adjuncts, students, four student organizations, and the SMILE Fund. It is often the first point of contact for visitors and community professionals. In addition, this position oversees the daily operations of the office and provides clerical support for various departmental processes.
Responsibilities include (but are not limited to): reconciling departmental ledgers, procurement card statements and payroll reports; monitoring budgets; coordinating special events and projects; taking minutes for departmental meetings; arranging travel for faculty, students and visitors; processing new hires including full time and adjunct positions; processing invoices and initiating documents for various items such as payroll and petty cash reimbursements; processing textbook and supply orders; initiating hire paperwork for full time faculty hires and for new adjuncts and ensuring required documentation is obtained; compiling departmental meeting minutes; updating spreadsheets; maintaining files and office equipment; assisting professors; supervising student workers; updating departmental web pages; supervising work study students; and general clerical duties. This position is also responsible for maintaining, supplying, and arranging any additional services work for all equipment in the College of Business copy room which includes the network printer, copier, Scantron machine, and the DocuSource shred service.
