UW Facilities (UWF) is one of the largest and most diverse administrative units on the Seattle campus supporting a large urban campus. UWF manages the University’s buildings, infrastructure and land, with more than 1,100 employees in a variety of fields. Our teams can be organized into four main groups: Finance & Administration, Asset Management, Operations, and Business Intelligence. Finance & Administration has an outstanding opportunity for an Assistant Manager of Finance, Transportation Services. As a key member of the UWF Finance & Administration unit, the primary purpose of the Assistant Director (AD) Finance is to provide leadership, direction and quality control of finance and accounting services for the Transportation Services unit. The AD is a financial professional with experience in business operations and should have the full range of accounting, budgeting, analytical and leadership skills to support the budgetary vision, organizational analysis and financial reporting for the Transportation Services unit. The AD will provide monthly financial reporting and partner with Transportation Services leaders to provide financial direction, analysis and modeling for various business opportunities, options, and related financial impacts. The AD Finance oversees an annual operating budget of approximately $50 million. The Transportation Services unit has four primary operating units: The AD Finance will oversee the financial operations for each business unit in Transportation Services. The complexities of multiple funding sources, cost allocations, and many business units requires a financial professional who can span from detail to big picture analyses and presentations seamlessly. The Assistant Director must develop strong and effective relationships with leaders in the Transportation Services business units and is a business partner to unit leadership to advise, recommend, and analyze opportunities and manage financial challenges. This position is an integral member of the UWF Finance & Administration team and must be adaptable, flexible, and able to manage a high volume of work. A team-oriented approach is essential, coupled with a proactive and positive business approach focused on meeting current and future needs. Primary Duties and Responsibilities The Assistant Director will provide direction and oversight in the financial management of the Transportation Services unit. This position is responsible for the financial reporting/analysis and budgeting/forecasting of Transportation Services. The financial reports and budgets require knowledge of business operations, use of multiple systems, and coordination with Transportation Services leaders. Financial Reporting & Analysis (45%) •Manage the monthly financial reporting for Transportation Services. Have in-depth knowledge of the business operations to understand the financial results for each business unit and the organization as a whole. •Oversee the accounting and financial reporting operations for Transportation Services. •Oversee the capital projects managed by Transportation Services and provide monthly reporting on the project status. Report on fund balances available for capital projects. •Serve as the Finance representative at the University Transportation Committee and present financial results and analysis. •Manage the financial processes and impacts of new and existing software systems for Transportation Services products and services. •Provide financial analysis and research for UWF leadership. •Ensure accounting controls are maintained and identify opportunities for improvement. •Represent Transportation Services’ financial and accounting needs as the University transitions to Workday as a financial management system. •Other responsibilities as needed. Budgeting & Forecasting (25%) •Manage the annual budget process for all units in Transportation Services. •Monitor budget performance and provide financial analysis of material variances. •Manage the development of annual rates for Transportation Services. •Forecast financial performance of Transportation Services and provide scenario modeling to provide data for decision-making. Customized Financial Analysis (20%) •Work collaboratively with a team of financial analysts to develop specialized financial analyses for multiple users including the Finance & Administration and Procurement & Sourcing teams, Director of Transportation Services, Director of Finance, AVP Finance & Administration, Vice President UW Facilities, COO, and UW Regents. •Use advanced features of applications such as Excel, SQL Server analysis tools, Tableau, Access and/or other similar applications to extract and analyze large volumes of data, to include formatting to suit specific projects and audiences. •Use UW administrative system tools including, for example, MyFD, Workday, and Office of Planning & Budgeting database, and the Enterprise Data Warehouse to extract and download system data for analysis. Staff Management (10%) •Directly supervise the Accounting Manager. The Accounting Manager has six direct reports, including two Analysts and four Fiscal Specialists. Requirements include: •Bachelor’s Degree in accounting, finance, or closely related field. •Seven or more years’ experience finance, accounting, or related field. •Supervisory experience. •Proficient user of Microsoft Office software suite, with a strong background in Excel. •Excellent written and oral communication skills. •High degree of professionalism, integrity and ownership needed; must be customer-committed and results-oriented. •Requires the ability to work collaboratively and in partnership with VP, AVP F&A, and Directors of Finance and Transportation Services. •Requires deep knowledge of UW funding sources to analyze total sources and uses of funds at an organizational level as well as at a more granular unit level. •Must be able to understand varying operational models quickly and apply financial analysis expertise to assist in decision-making. •Requires in-depth knowledge of software programs to maintain document credibility. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. | |||
