DeMatha Catholic High School is looking for an enthusiastic Finance and Billing Associate who supports the general operations of the Business Office and reports to the Finance Director. The primary responsibilities include day-to-day bookkeeping, maintenance of the general ledger, and overseeing the school’s tuition billing and collection. The Finance and Billing Associate reconciles accounts to ensure their accuracy. The successful candidate will be a dynamic, detail-oriented, technologically savvy individual with excellent communication skills, a collaborative work style, and the ability to work in a fast-paced environment with a commitment to catholic education. Excellent written and verbal communication skills are required, as is a professional demeanor.
Essential Duties and Responsibilities:
Maintain and administer all aspects of student billing accounts.
Input charges and credits within the tuition billing system.
Work with the school’s third-party tuition payment company to ensure all accounts are reflected accurately.
Work with parents on approved payment arrangements for tuition accounts.
Support and ensure the billing of student related charges submitted by other departments.
Prepare monthly outstanding receivables and report to the CFO for review.
Maintain open communication with delinquent accounts to assure prompt collection.
Follow up with families that are in arrears, monitor account aging, and serve as first-line for collection of unpaid bills, with escalation to Finance Director as needed.
Support billing and payment logistics associated with ancillary programs and revenue-generating events, as needed.
Process all incoming cash receipts and deposits, including Advancement Office receipts.
Reconcile tuition receivable from tuition system to general ledger on a monthly basis.
Prepare bank deposits and monitor and reconcile electronic payments.
Follow up on returned checks.
In collaboration with the Advancement Office, award scholarship funding and support through donations from private benefactors, corporations, and/or foundations.
Process enrollment contracts and deposits and enter all new students and relevant information into the student billing system.
Provide support to families during re-enrollment process and assist in answering questions on their accounts.
Track enrollment contract returns and keep Finance Director and Admissions Director informed.
Assist in the financial aid process; monitor receipt of financial aid applications and documentation. Upload financial aid awards into the billing system.
Provide supporting documentation for annual financial audits.
Perform related duties as required or assigned.
Skills and Specifications
Must have knowledge of general accounting procedures, specifically those related to accounts receivable.
Must be organized and pay attention to detail and accuracy.
Ability to set priorities, organize, and work independently.
Ability to work collaboratively with colleagues and other school constituencies.
Ability to communicate articulately and effectively in writing and in person with the entire DeMatha community, including parents and students.
Must be customer service driven, logical, and able to problem-solve.
Ability to maintain confidentiality in all matters pertaining to finances and personnel.
In addition to the primary responsibilities listed above and understanding that not all tasks involved with these responsibilities are itemized, the Finance and Billing Associate is also required to perform any task assigned by the Finance Director on an “as needed” basis. The Finance and Billing Associate may, on occasion, be asked to assist other personnel in the Business Office, in the performance of their duties. It is expected that the Finance and Billing Associate will show initiative in problem solving, be of assistance to visitors to the Business Office, and contribute to the Business Office team in a positive and pro-active manner.
Education and/or Experience:
Minimum of bachelor’s degree in Accounting or related field.
3 plus years of experience.
Experience with not-for-profits and independent schools preferred.
Advanced technology skills including Blackbaud, FACTS, Veracross, Word, Excel and database management software are beneficial.
