Assist the Director of Conference Services by planning and implementing the sales of conference services events while assisting and advising the customers throughout the university and local communities to ensure successful event outcomes. Including but not limited to, answering phones, collecting information from clients, preparing estimates, invoices and collecting payments for events. Scheduling and planning with internal and external resources to support events. Daily reconciliations, financial corrections per University policies and procedures. Processing invoices and inter departmental transfers for services or rentals. Acts as primary contact for Selu events including supervision of the Selu Coordinator. Oversees the department's on-line reservations system including client contact and coordination for proper use. Makes departmental eVA purchase requests as needed. Assist the Director as needed within any area under Conference Services. Serves as the backup for the Business Process Specialist for University Services as needed. Oversees Conference Services staff in the absence of and in conjunction with the Director of Conference Services.
Strong customer service skills. Must have strong computer skills and be very proficient with Microsoft Office products with special emphasis on Excel and Access. Must have strong analytical skills. Ability to learn multiple computerized systems. Strong written and verbal communication skills. Ability to work effectively independently or as a part of a group. Strong time management and organizational skills. Ability to create and/or maintain basic web functionality. Must have strong accounting skills, as they apply to reconciliation, accounts receivable and accounts payable. Ability to work nights and/or weekends as necessary. Ability to work some overtime if necessary.
Prior experience working in event planning. Functional use of Banner and eVA. Experience in working with credit card transaction systems and software. Experience working in a higher education setting. Preference for person with experience in a fast-paced, high-volume, customer service organization. Demonstrated experience working with data for reporting purposes. Previous supervision experience is preferred.
